Executive Assistant to Senior Leadership

Hybrid | Global Private Equity Environment

We are partnering with a highly respected global private equity firm to identify a polished and proactive Executive Assistant to support senior leadership in a fast-paced, high-expectation environment. The role requires exceptional judgment, outstanding communication skills, and the ability to stay several steps ahead of the professionals you support.

The ideal candidate has experience supporting a group of senior executives or managing directors simultaneously, thrives under pressure, anticipates needs before they arise, and excels at coordinating complex schedules, meetings, and confidential initiatives across multiple priorities.

Responsibilities

Executive Support

  • Manage heavy, rapidly changing calendars and competing priorities for multiple senior leaders.
  • Screen calls, emails, and inquiries with discretion, sound judgment, and professionalism.
  • Draft, edit, and finalize correspondence, presentations, and internal documents.
  • Review incoming information, identify priorities, and act independently when appropriate.
  • Track meetings, deliverables, and follow ups to ensure seamless execution and preparedness.

Meetings & Events

  • Coordinate complex internal and external meetings involving multiple stakeholders.
  • Prepare agendas, briefing materials, and supporting documents.
  • Assist with senior leadership meetings, events, and occasional off sites.
  • Serve as a polished liaison for clients, investors, and senior stakeholders.

Travel & Logistics

  • Arrange detailed domestic and international travel itineraries.
  • Prepare agendas, directions, confirmations, and backup materials.
  • Anticipate potential conflicts or changes and communicate updates promptly.

Administrative Operations

  • Prepare accurate and timely expense reports.
  • Handle routine administrative tasks including mail, printing, scanning, and organizing documents.
  • Provide backup support to additional executives when needed.
  • Assist visiting executives and guests with hospitality and logistics.

Professionalism & Confidentiality

  • Handle sensitive information with absolute discretion.
  • Build strong, positive working relationships across all levels of the organization.
  • Collaborate with the broader administrative team and proactively support colleagues when needed.

Qualifications

  • A bachelor's degree is highly preferred.
  • Minimum of three years' experience supporting 2+ senior executives simultaneously, ideally in private equity, financial services, consulting, investment management, or similarly demanding corporate environments.
  • Proven experience navigating fast paced, high performance settings with composure and professionalism.

  • Ability to handle shifting priorities and manage frequent time sensitive deadlines.
  • Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).

  • Professional presence, strong interpersonal skills, and a collaborative approach.
