Full Job Description

Position Summary

The HR Specialist supports the full spectrum of human resources operations within a fast-paced logistics environment. This role focuses on recruiting, onboarding, payroll processing, employee communication, and compliance, all while ensuring a smooth flow of HR activities that keep the logistics operation fully staffed and compliant.

In addition, the HR Specialist serves as a key point of contact between the company and its external HR vendors, including staffing platforms, background check services, payroll providers, and uniform suppliers. The ideal candidate is detail-oriented, efficient, and thrives in a dynamic setting compliant with Ceiba Route's policies and procedures, Amazon's policies, and government regulations.

Essential Duties and Responsibilities

Recruiting and Onboarding

  • Oversee the recruitment pipeline, ensuring daily goals are met either directly or through coordination with external recruiters and/or partners.
  • Post and manage job listings through online platforms such as Indeed and SmartRecruiters.
  • Screen applicants, schedule interviews, and maintain clear communication through text, email, and phone.
  • Review completed background checks (BGCs) and coordinate drug testing with external partners.
  • Update HR systems with candidate status and ensure applicants are ready for training.
  • Send onboarding and training communications to new hires, ensuring all pre-employment steps are complete.
  • Collect and securely store hiring documents in HR systems.
  • Confirm readiness for each new hire including completion of pre-requisites, documentation, logins, and understanding of work expectations.
  • Draft and distribute official communications, including hiring notices, terminations, attendance updates, and HR policy changes.

Payroll and Timekeeping

  • Review weekly timesheets for accuracy and compliance.
  • Communicate with Delivery Associates and Dispatchers to correct discrepancies and escalate issues as needed.
  • Process bi-weekly payroll accurately and on schedule.
  • Coordinate with payroll and HRIS vendors (such as ADP Workforce Now) to troubleshoot system issues or resolve pay-related discrepancies.

Employee Communication and Relations

  • Maintain positive working relationships with employees at all levels, supporting engagement, attendance, and retention initiatives.
  • Respond to HR-related inquiries from employees in a timely and professional manner.
  • Support daily HR operations by liaising with managers and dispatchers to ensure smooth communication and workforce alignment.
  • Help manage attendance tracking, recognition programs, and other HR initiatives to build a positive work culture.

Vendor Engagement

  • Manage procurement of uniforms, safety gear, and office supplies as needed.
  • Build and maintain vendor relationships with staffing agencies, payroll providers, and benefits partners.
  • Ensure vendor service levels meet company standards, tracking performance and escalating issues when necessary.
  • Oversee monthly recognition programs (e.g., DSP Swag) by coordinating with suppliers to manage inventory and fulfillment.

Engagement, Compliance, and Reporting

  • Manage monthly employee surveys and Internal Audit & Quality (IAQ) reporting.
  • Communicate benefits information and assist employees with enrollment or eligibility questions.
  • Coordinate company events and recognition initiatives to promote engagement and morale.
  • Manage workers' compensation claims, ensuring prompt and accurate communication with insurance carriers and employees.
  • Assist with bi-annual HR and compliance audits to ensure records, training, and certifications are up to date and properly documented.

Qualifications

  • High school diploma or GED required; Associate or Bachelor's degree in Human Resources, Business, Logistics, or a related area preferred.
  • 2–4 years of HR experience.
  • Working knowledge of ADP Workforce Now, SmartRecruiters, or similar HRIS platforms.
  • Excellent organizational and time management skills.
  • Proven ability to handle confidential information with discretion.
  • Strong interpersonal and problem-solving skills in a fast-paced environment.
  • Bilingual (English and Spanish) preferred.

Physical Demands and Work Environment

  • May require standing for extended periods and occasional lifting (up to 50 lbs).
  • Typical 8-hour shift, with occasional flexibility for peak staffing or payroll deadlines.
