Administrative Assistant/Front Desk Coordinator

Job Summary:
We are seeking a highly organized and proactive Administrative Assistant with exceptional communication skills, sales experience, and a solid understanding of the aviation field to join our flight training program. The ideal candidate will play a pivotal role in supporting the day-to-day operations of our flight training program, handling administrative tasks efficiently, and ensuring seamless communication between instructors, students, and management. This position offers a unique opportunity to contribute to the growth and success of aspiring aviators while working in a dynamic and fast-paced environment.
Responsibilities:
- Administrative Support: Provide comprehensive administrative support to flight training program operations, including scheduling, filing, data entry, and maintaining records.
- Communication: Serve as a primary point of contact for students, instructors, and external stakeholders. Demonstrate exceptional verbal and written communication skills to effectively convey information, address inquiries, and provide assistance as needed.
- Sales Assistance: Assist in sales-related activities such as promoting flight training programs, handling inquiries from prospective students, and coordinating enrollment processes.
- Customer Service: Deliver exceptional customer service to ensure a positive experience for students and visitors. Handle inquiries, resolve issues, and provide guidance on program offerings and requirements
- Flight Training Coordination: Collaborate with flight instructors to schedule training sessions, coordinate aircraft bookings, and ensure availability of necessary resources for training activities.
- Documentation and Compliance: Maintain accurate and up-to-date documentation, including student records, training logs, and compliance-related paperwork in accordance with aviation regulations and program requirements.
- Event Coordination: Assist in organizing events, seminars, and workshops related to flight training. Coordinate logistics, manage registrations, and provide on-site support as necessary.
- Team Collaboration: Work closely with instructors, management, and other administrative staff to support overall program objectives and foster a collaborative work environment.
- Continuous Improvement: Identify opportunities for process improvement and efficiency enhancement within administrative workflows. Provide recommendations and implement solutions to streamline operations.
Qualifications:
- Proven experience in an administrative role, preferably within the aviation or education sector.
- Strong communication skills, both verbal and written, particularly over the phone, and exceptional organizational abilities.
- Sales experience and a customer-focused approach to handle inquiries, promote services, and drive enrollment.
- Knowledge of aviation terminology, regulations, and industry trends preferred.
- Excellent organizational skills with the ability to multitask and prioritize tasks effectively in a fast-paced environment.
- Proficiency in office software applications (e.g., Microsoft Office Suite, Google Workspace) and ability to quickly learn new software systems.
- Detail-oriented mindset with a commitment to accuracy and compliance in record-keeping and documentation.
- Ability to work independently with minimal supervision while also contributing positively to a collaborative team environment.
- Education:
- High school diploma or equivalent required; Bachelor's degree preferred.
Certifications/Licenses:
- None required; however, any relevant certifications or licenses in aviation would be considered advantageous.
