The Front Office and Treatment Plan Coordinator serves as a primary point of contact for patients and plays a critical role in case presentation, scheduling, and financial coordination. This position requires professionalism, emotional intelligence, attention to detail, and the ability to guide patients confidently through complex treatment plans in a high-end practice environment.

Key Responsibilities

· Greet patients warmly and manage all front desk interactions with professionalism and discretion

· Answer phones, manage scheduling, and coordinate appointments efficiently

· Present treatment plans clearly and confidently, including sequencing, timelines, and financial options

· Review insurance information and explain benefits in a clear, patient-friendly manner

· Collect payments, process transactions, and manage patient checkout accurately

· Coordinate financing options and assist patients with payment arrangements when applicable

· Ensure smooth handoffs between clinical and administrative workflows

· Maintain accurate patient records, financial notes, and treatment documentation in Dentrix

· Support new patient onboarding and ensure a seamless, luxury patient experience

· Follow up on unscheduled treatment and maintain treatment plan acceptance metrics

· Uphold confidentiality, professionalism, and compliance with all HIPAA and office policies

Qualifications

· Minimum of 1 to 2 years of experience in a dental front office or treatment coordination role preferred

· Strong competence with Dentrix practice management software

· Experience presenting treatment plans and discussing financial arrangements with patients

· Knowledge of dental procedures, terminology, and treatment sequencing

· Excellent verbal and written communication skills with a warm, confident demeanor

· Strong organizational skills and attention to detail

· Ability to manage multiple priorities in a fast-paced, high-expectation environment

· Professional appearance and a hospitality-focused mindset

  • Familiarity with dental coding (CDT/ADA, ICD-9/10), billing procedures, insurance verification, and health information management
  • Strong understanding of dental terminology and clinic workflows
  • Excellent computer skills including Microsoft Office Suite (Word, Excel) and typing proficiency (10 key typing)
  • Exceptional communication skills with professional phone etiquette and customer service experience
