Job Summary

We are a well-established IVF and fertility clinic located in Newport Beach seeking a professional, detail-oriented, and compassionate Patient Coordinator to join our team on a full-time basis. This role is essential in guiding patients through their fertility journey by coordinating care, managing treatment workflows, and serving as a key liaison between patients, physicians, and the clinical team. Fluency in both English and Mandarin is required.

Key Responsibilities

  • Meet with and follow up with prospective and existing patients to review fertility treatment processes, options, timelines, and expectations.

  • Coordinate all activities required to initiate and support individualized treatment plans, including IUI, IVF, surgery, and genetic testing (PGT/PGD).

  • Prepare and manage patient calendars and treatment schedules, including operating room (OR) block scheduling as needed.

  • Coordinate clinical cases with physicians and multidisciplinary clinical teams to ensure timely and seamless care delivery.

  • Maintain complete and accurate patient medical records, including consents, authorizations, and required documentation.

  • Obtain insurance or medication authorizations when necessary.

  • Provide patient education and health teaching, including medication administration.

  • Ensure all responsibilities are carried out efficiently in accordance with clinic policies and procedures.

Qualifications

  • Fluency in both English and Mandarin (spoken and written) is required.

  • Prior experience in a medical, fertility, or healthcare setting is strongly preferred.

  • Excellent interpersonal, communication, and problem-solving skills, with the ability to handle complex and highly sensitive situations with professionalism, discretion, and compassion.

  • Strong attention to detail and organizational skills, with the ability to manage multiple priorities in a fast-paced clinical environment.

  • Proficiency in Microsoft Word and Excel; ability to quickly learn Electronic Medical Records (EMR) systems and other clinical software.

  • Team-oriented mindset with a strong commitment to patient-centered care.

  • Excellent time management skills and reliability.
