Our AP Specialist Role:
Bring your finance and accounts payables experience to Velvac and help take our already sturdy payables processes and strong supplier relations to the next level. At Velvac AP is a key partner to both internal and external customers and suppliers and helps forge strong relationships. Additionally the AP Specialist is integral in supporting smooth business operations across all of our functions.

This role also assists the accounting function with various tasks and serves as a back-up to the Customer Solutions Department as needed.
Your work will include:
- Serve as owner and subject matter expert of our Accounts Payable systems and processes, as well as a continuous improvement champion.
- SME for Accountings "Docuware" receivables, invoicing and payment software.
- SME for automated "Expense Reimbursement" including all T and E transactions thru "Paylocity" payroll module. This includes uploading of transactions to our General Ledger.
Responsible for basic level AP functions such as:
- Maintains Authorization Signature Forms
- Manages A/P Mailbox and Inputs invoices into Docuware
- Scans and files invoices in Docuware
- Processes invoices accurately and on a timely basis
- Verify proper approval authority and supporting documentation on all invoices.
- Validate '3 Way Matching' of invoices, shipping/receiving paperwork and the original purchase orders.
Responsible for next level AP duties such as:
- Prepare daily Payment Priority List
- Compile and process vendor checks weekly.
- Maximizes cash discounts (guidance from CFO)
- Research and resolve discrepancies including follow up with vendors and/or internal personnel.
- Correspond verbally and writing with vendors, auditors and business management.
- Prepare daily, weekly and monthly reports for the Cash forecasting and foreign denominated payables.
Responsible for tax, reporting and compliance issues such as:
- Create ad hoc reports to support requests from the business and auditors.
- Manage sales and use tax compliance.
- Preparation of annual 1099 and 1042-S filings
- S-Ox testing
- Ensure proper account coding for accounting and tax purposes.
- CTPAT compliance screening (Customs Trade Partnership)
