Summary of Job Duties:The Procurement Coordinator will coordinate and provide assistance with various procurement activities related to the purchase or equipment, materials, services, supplies, formal bid processes, and travel for UA-PTC.
Essential Duties and Responsibilities:
· Comprehend state law and regulations pertaining to the accountability of state property and all other procurement policies and procedures
· Review contracts, agreements, and MOUs for Procurement policy to ensure campus compliance
· Organize campus contracts for tracking purposes
· Supplier relations, interviews, negotiations, record maintenance, and setup.
· Supplier relations, interviews, negotiations, record maintenance, and setup.
· Provides technical assistance to departmental personnel, suppliers and other parties.
· Resolves issues to ensure accuracy and timeliness.
· Ability to manage time and meet tight deadlines.
· Perform data entry of various information.
· Coordinate all travel needs for the college including providing travel trainings to UAPTC employees.
· Responsible for booking, requesting, and processing travel card authorizations, and obtaining receipts related to travel activities.
· Travel credit card reconciliation.
· Spend authorization and reconciliation processing.
· Assist with documentation requests such as, vendor related items, quotes, travel information, and other requests related to procurement.
· Assist with other related requests such as: travel process and procedures, spend authorizations and expense reporting, procurement processes and asset management.
· Conducts competitive bids by writing bid specifications, preparing bid requisition documents, receiving and analyzing submitted bids, conducting public openings, organizing evaluation committees, preparing bid summaries, and posting intent to award bid.
· Perform other duties as assigned.
Qualifications: Required Qualifications:
The formal education equivalent of a high school diploma; plus, two years of procurement, bookkeeping, basic accounting, billing, asset accounting, travel, or related experience.
Preferred Qualifications:Associates Degree with two years of experience in procurement, bookkeeping, basic accounting, billing, asset accounting, travel, or related experience.
