Job Overview

As an Office Clerk and Receptionist, you will be the welcoming face of our organization, providing essential support to both our team and our valued clients. Your role is pivotal in ensuring smooth daily operations, from managing front desk activities to maintaining organized office systems. You'll engage with customers, handle inquiries, and assist with various administrative tasks that keep our office running efficiently.

What you'll do

  • Greet and assist visitors with a friendly demeanor while managing the front desk operations.
  • Answer and direct incoming calls using a multi-line phone system, ensuring excellent phone etiquette.
  • Perform data entry, filing, and clerical duties to maintain accurate records and documentation.
  • General office support: Answering phones, taking messages, managing email, and providing general information.
  • Recordkeeping and filing: Maintaining accurate records, both electronic and physical, and ensuring easy retrieval of documents.
  • Data entry: Entering information into databases, spreadsheets, and other software.
  • Administrative tasks: Scheduling appointments, preparing reports, and assisting with other administrative duties.
  • Mail handling: Distributing incoming mail, sorting mail, and preparing outgoing mail.
  • Office equipment: Operating and maintaining office equipment like copiers, scanners, and printers.
  • Processing Enrollment Applications: Assist with researching, preparing, and processing enrollment applications.
  • Maintaining Records: Keep records up to date, including family history, enrollment verification, and other relevant information.
  • Providing Information: Answer questions from students and staff regarding admissions, registration, financial aid, and other enrollment-related matters.
  • Customer Service: Provide friendly and efficient service to students, staff, and the public.
  • Data Entry and Management: Enter and maintain accurate student information in databases.
  • Record Keeping: Maintain, update, and file office records.
  • Confidentiality: Maintain the confidentiality of student information and comply with privacy regulations.
  • Record Attendance:
  • Collect and record attendance data from various sources (teachers, students, parents, etc.).
  • Maintain Records:
  • Keep attendance records up-to-date, accurate, and organized in both paper and electronic formats.
  • Prepare Reports:
  • Generate attendance reports, summaries, and statistical information for various departments.
  • Follow-up on Absences:
  • Contact students, parents, and teachers to verify absences, obtain reasons, and ensure excuses are received.
  • Issue Forms:
  • Prepare and distribute forms for early dismissals, tardies, and other attendance-related issues.
  • Assist with Inquiries:
  • Respond to questions from students, parents, and staff regarding attendance policies and records.
  • Assist with office management tasks including inventory control and supply ordering.
  • Collaborate with team members to support various administrative functions as needed.

Experience

  • Proven experience in an office or clerical role, demonstrating strong organizational skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace for document management.
  • Bilingual abilities are a plus, enhancing communication with diverse clients.
  • Strong typing skills with attention to detail for effective proofreading of documents.
  • Excellent time management skills to prioritize tasks effectively in a busy environment.
  • Previous experience as an office clerk or receptionist is advantageous but not required.
