Executive Assistant – C-Suite
Overview
We are seeking a high-performing Executive Assistant to provide direct support to C-Suite executives in a fast-paced, rapidly evolving environment. This role requires exceptional organization, speed, and discretion, coupled with the ability to anticipate needs and act with urgency. The Executive Assistant will serve as a critical extension of the leadership team, ensuring priorities are executed seamlessly, communication flows effectively, and the executives' time is optimized for maximum impact.

Work Environment

- Regular virtual strategy meetings, executive briefings, and leadership syncs with C-Suite members.
- Must be able to manage multiple communication channels, email, Slack, text, and calendar, while maintaining complete confidentiality.
Essential Functions Of The Job
- Must be able to manage complex calendars for multiple executives, including scheduling, prioritization, and real-time adjustments to shifting priorities.
- Must be able to coordinate executive travel, domestic and international—handling logistics, itineraries, and expense reporting with precision.
- Must be able to prepare executive materials such as board decks, reports, and correspondence, ensuring accuracy and professionalism.
- Must be able to facilitate executive meetings, including agenda creation, documentation, and follow-up on key decisions and deliverables.
- Must be able to maintain and track high-priority initiatives, ensuring deadlines are met and leadership is informed of progress and roadblocks.
- Must be able to act as a gatekeeper and liaison, ensuring efficient communication between C-Suite, internal teams, and external partners.
- Must be able to handle confidential information with the utmost integrity and professionalism.
- Must be able to utilize productivity tools and systems (Google Workspace, Slack, Zoom, project management software) to optimize executive efficiency.
- Must be able to adapt quickly to evolving priorities, maintaining composure and focus under pressure.
Qualifications
- 5+ years of direct experience supporting C-Suite or senior executives in a high-growth or high-intensity organization.
- Proven track record of handling complex schedules, projects, and communications with precision and urgency.
- Expert in Google Workspace, Slack, Zoom, and calendar management systems.
- Strong writing and communication skills—capable of drafting executive correspondence and summarizing key discussions.
- Demonstrated ability to maintain discretion, professionalism, and sound judgment.
- Highly organized, proactive, and resourceful—able to think two steps ahead and execute quickly.
- Reliable internet connection and a secure, professional home workspace.
