Location: This is primarily a remote position, with occasional in-person duties and responsibilities required. Hudson Valley resident preferred.
Position Overview
We are seeking a detail-oriented and proactive Administrative Assistant to support our organization's daily operations. This independent contractor p/t role combines traditional administrative support with digital and data management responsibilities, including website and digital asset updates, database and list maintenance. The ideal candidate will be highly organized, tech-savvy, and comfortable balancing multiple priorities in a fast-paced environment. The person in this role will work independently, and also communicate and collaborate regularly with the executive director and team members from across the organization.
Key Responsibilities
- Provide general administrative support, including scheduling, correspondence, and document preparation.
- Maintain and update the organization's website and digital assets with current content, announcements, and resources.
- Perform data entry with accuracy and efficiency across multiple systems.
- Manage and update contact lists, distribution lists, and membership databases.
- Support digital communications, including email campaigns, newsletters, and website postings.
- Assist with organizing digital files, records, and administrative systems.
- Coordinate logistics for meetings, events, and projects as needed.
- Respond to inquiries and provide excellent customer service to internal and external stakeholders.
- Perform other administrative tasks as assigned to ensure smooth operations.
Qualifications
- Proven experience in an administrative or office support role.
- Strong computer skills, including proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and/or Google Workspace.
- Knowledge of website maintenance platforms (e.g., WordPress, Squarespace, Wix, or similar).
- Familiarity with database management and email marketing tools (e.g., Mailchimp, Constant Contact, Salesforce, or similar).
- Excellent organizational skills with strong attention to detail.
- Strong written and verbal communication skills.
- Ability to manage multiple projects and deadlines with minimal supervision.
- Team-oriented with a positive, problem-solving approach.
Preferred Skills
- Excellent written, verbal and computer skills.
- The ideal candidate should be flexible, collaborative, creative, detail-oriented, and organized.
- Flexibility to work occasional evenings and weekends at various locations in the Hudson Valley.
- Experience with nonprofit or small business operations.
- Basic graphic design and social media management experience.
- Comfort with learning and adapting to new technology tools.
