Title: Front Office Coordinator, Rheumatology Practice
Position: Full-Time, Non-Exempt
Hours: 40 hours per week
Location: Onsite in Fresno, CA
Position Summary
Our independent rheumatology practice is seeking a friendly, organized, and professional Front Office Coordinator to serve as the first point of contact for our patients. This role is essential in creating a welcoming environment, managing the daily flow of the office, and ensuring smooth communication between patients, providers, and staff.
Key Responsibilities
Patient Reception & Scheduling
- Greet patients warmly and respectfully upon arrival and assist with check-in/check-out procedures.
- Verify insurance information, collect copayments & balances, and process billing statements not taken care of by the billing company.
- Schedule patient appointments, follow-ups, and referrals with accuracy and efficiency.
- Answer and direct phone calls, respond to patient inquiries, and relay messages promptly.
Administrative Support
- Maintain and update patient records in the electronic health record (EHR) system.
- Manage incoming and outgoing correspondence, including faxes, emails, and mail.
- Process medical records requests, prior authorizations, and insurance documentation.
- Coordinate with clinical staff to ensure seamless patient flow and timely care.
Office Operations
- Monitor and maintain front office supplies and forms.
- Ensure the waiting area remains clean, organized, and welcoming.
- Assist with daily administrative tasks such as filing, scanning, and data entry.
- Uphold patient confidentiality and compliance with HIPAA and office policies.
Qualifications
- High school diploma or equivalent required; some college coursework preferred.
- Previous medical office or healthcare front desk experience preferred.
- Familiarity with insurance verification and medical billing procedures a plus.
- Proficiency with electronic health records (EHR) and scheduling systems.
- Strong organizational, multitasking, and communication skills.
- Professional demeanor with a compassionate, patient-focused approach.
- Proficiency in a second language, particularly Spanish, is preferred.
As a small practice, teamwork and flexibility are essential. All employees may be required to perform duties outside their primary job responsibilities to support overall practice operations and ensure continuity of patient care.
Employees are expected to provide cross-coverage for one another during absences due to vacation, illness, or other reasons. Employees must coordinate time off in advance and may be required to adjust Paid Time Off schedules during periods when the physician is out of the office or the Practice is closed.
