Job Summary
We're looking for a detail-oriented and proactive
Temporary Onboarding Specialist
to support the People Team during a maternity leave coverage period. This role plays an essential part in ensuring a seamless onboarding experience for new hires by coordinating preboarding activities, managing documentation, and maintaining clear communication with candidates and hiring managers.

$24/hr
Essential Duties And Responsibilities
- Perform data entry and data audits to maintain accurate onboarding and employee records.
- Clean up and organize digital and physical filing systems.
Follow up with candidates to:
Collect required documentation and ensure preboarding milestones are completed.
- Initiate HireRight background checks when not yet started.
- Complete DocuSign envelopes for new hire documentation if pending.
- Finalize preboarding tasks in the HRIS as needed.
- Confirm first available start date when no response has been received.
Ensure all actions are completed promptly and in accordance with onboarding timelines.
Coordinate start date logistics and confirmations with hiring managers.
- Send arrival confirmations and coordinate Day 1 logistics.
- Verify and process I-9 forms accurately and in compliance with federal requirements.
- Ensure security and access emails for all locations are sent daily or weekly.
- Add new hire badges to the Joint and maintain up-to-date records.
- Support general onboarding and badging operations as needed to ensure a smooth new hire experience.
Minimum Qualifications
- High School Diploma or equivalent required.
- 1–2 years of HR, onboarding, or administrative experience preferred.
- Strong attention to detail, organization, and follow-up skills.
- Proficiency in Microsoft 365 (Outlook, Excel, SharePoint, Teams).
- Excellent communication and customer service skills.
- Ability to manage confidential information with professionalism and discretion.
