Job Summary
We're looking for a detail-oriented and proactive
Temporary Onboarding Specialist
to support the People Team during a maternity leave coverage period. This role plays an essential part in ensuring a seamless onboarding experience for new hires by coordinating preboarding activities, managing documentation, and maintaining clear communication with candidates and hiring managers.

Essential Duties And Responsibilities

  • Perform data entry and data audits to maintain accurate onboarding and employee records.
  • Clean up and organize digital and physical filing systems.

  • Follow up with candidates to:

  • Collect required documentation and ensure preboarding milestones are completed.

  • Initiate HireRight background checks when not yet started.
  • Complete DocuSign envelopes for new hire documentation if pending.
  • Finalize preboarding tasks in the HRIS as needed.
  • Confirm first available start date when no response has been received.

  • Ensure all actions are completed promptly and in accordance with onboarding timelines.

  • Coordinate start date logistics and confirmations with hiring managers.

  • Send arrival confirmations and coordinate Day 1 logistics.
  • Verify and process I-9 forms accurately and in compliance with federal requirements.
  • Ensure security and access emails for all locations are sent daily or weekly.
  • Add new hire badges to the Joint and maintain up-to-date records.
  • Support general onboarding and badging operations as needed to ensure a smooth new hire experience.

Minimum Qualifications

  • High School Diploma or equivalent required.
  • 1–2 years of HR, onboarding, or administrative experience preferred.
  • Strong attention to detail, organization, and follow-up skills.
  • Proficiency in Microsoft 365 (Outlook, Excel, SharePoint, Teams).
  • Excellent communication and customer service skills.
  • Ability to manage confidential information with professionalism and discretion.
