SCOPE: This position will serve as the CRM database expert and is responsible for ensuring that the Development Group capitalizes on the benefits offered by the Salesforce CRM system.  In this role, the duties will include keeping CRM current, creating user accounts, maintaining the forecast, providing accurate data and reporting, sustaining necessary audits, and training staff on the effective use of the Salesforce product.

ESSENTIAL FUNCTIONS: 

  • Maintain and ensure the integrity and consistency of Salesforce data through consistent audits and secondary reviews.
  • Continue to grow in knowledge of Salesforce to keep up with all industry or system enhancements in order to consistently improve the infrastructure of the database.
  • Handle all basic administrative functions, including user account maintenance, reports and dashboards, workflows, automations, and other routine tasks. 
  • Manage all Salesforce processes and assist in the creation of SOPs for the Investor Operations team, Principal and Major & Mid-level Gifts teams, and other teams across the organization that utilize or share in functions regarding the CRM.
  • Manage daily intake of donations and account management change requests from the Development Group.
  • Train, guide, and advise new staff during onboarding and grow the Salesforce skill set across the domain.
  • Oversee all communication through Salesforce (including Apps like Pardot), ensuring properly branded templates and appropriate email functionalities. 
  • Assist Pardot Specialist as liaison with the Marketing team to equip the team with online tools in Salesforce.
  • Create reports as needed to provide appropriate data for forecasts, caseload management, revenue metrics, and KPIs.  
  • Oversee campaign data for the team for all Tier 1 through Tier 3 events. Offer Event team support as needed. 
  • Oversee all Business Intelligence reporting from Salesforce and act as a liaison to the Data Analytics team as necessary for Domo.
  • Become a power user in Domo to assist in the creation of cards for the team as needed.
  • Manage year-end tax receipting process for Salesforce team, in conjunction with Investor Operations, Accounting, and Project Management.
  • Assist with donor search to help maintain accounts and to offer strategic data analytics to promote annual acquisition. 
  • Monitor system for overdue pledges and checkouts; communicate necessary action items to the Gifts Officer teams.
  • Liaison with the Accounting team as needed to ensure proper gift tracking and receipting within Salesforce.   Manage the monthly allocation process for ETEN, I.Bible gifts. Track All Access Goal language list with Progress.Bible to ensure proper allocations.
  • Enter, edit, and monitor project checkouts in conjunction with the Partnership Dashboard in DOMO; track updates, changes, and fixes to Dashboard with Data Analytics team and Investor Services Analyst as needed. 
  • Explore and maintain service agreements and apps for Salesforce CRM optimization. 

 SUPERVISORY RESPONSIBILITY:

  • This position manages one to three Salesforce staff as part of the Investor Operations team, and will lead the process of recruiting and hiring new team members as needed. 
  • Provide direction and mentoring, develop and communicate performance metrics to assess the effectiveness of staff, both as a department and individually.

OTHER DUTIES: 

  • Attend and participate in a variety of meetings and task force groups as directed and maintain required level of knowledge pertaining to operating procedures, requirements, processes, and policies.
  • Lead and or participate in projects or task force groups that focus on issues having organization-wide impact.
  • Perform or assist with any assignments as required or directed.

WORK ENVIRONMENT:

This job operates in a professional office environment within a highly collaborative, synergistic, high-paced team. This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets.

The physical demands here are representative of those that must be met by a staff member to successfully perform the essential functions of this job. There are prolonged periods of sitting at a desk and working on a computer.

  • Bachelor's degree in business administration, computer science, or equivalent work experience
  • 3-5 years of experience in project management, operations management, or as a Salesforce Administrator or equivalent work experience
  • Salesforce certification preferred
  • Strong understanding of Salesforce best practices and functionality
  • Strong data management abilities
