KennedyC is seeking a highly organized and detail-oriented
Project Coordinator

to join our talented, hard-working Operations Team in a role based in Madison, Wisconsin. This position partners closely with all agency departments to support seamless project management, accurate documentation and timely execution of client deliverables — an ideal opportunity for someone who lives and breathes project coordination. Responsibilities:

Project & Campaign Management

  • Collaborates on and provides project management support to Account Executives, ensuring smooth execution of client marketing activities, including media plan documentation, creative production, media placements, client reporting and data pulls.
  • Monitors media campaign and project timelines and deadlines, proactively identifying and addressing potential issues before they arise.

Quality Control & Review

  • Proofreads copy, artwork, agency materials and printers' proofs, ensuring all work goes through the standard agency approval process before client review or vendor submission.
  • Reviews all billing for assigned accounts and compares to approved client plans; reports discrepancies to relevant Account Executives or other departments, if needed.
  • Identifies opportunities to improve workflow consistency and recommends refinements to enhance alignment across teams and projects.

Research, Planning & Support

  • Gathers, organizes and assembles background information, research and analyses to assist in developing client briefs and strategies.
  • Contributes to project planning by assisting client teams with agendas, reports, proposals, correspondence, meeting notes and client presentation materials.

  • Attention to detail and accuracy
  • Proficiency in Microsoft Word, Excel, and Google Docs
