Project Coordinator

Compensation:
$26.00 to $33.00 per hour
Schedule:
Monday - Friday; 7/8:00am- 3/4:00pm
Key Responsibilities:
Project Documentation & Organization
- Assist with job setup and startup meeting documentation.
- Upload and organize digital project folders within platforms such as Procore or E-Builder.
- Maintain submittal logs and cost code structures in collaboration with Project Managers/Assistant Project Managers.
- Maintain organized and current files, drawings, and specifications on shared drives and project management systems.
Project Coordination & Communication
- Prepare and distribute subcontracts and project startup materials.
- Collect data from subcontractors and field personnel to support look-ahead schedules and updates.
- Attend jobsite and progress meetings as needed; take and distribute meeting minutes.
- Draft and distribute RFIs, purchase orders, permits, and related project documentation.
- Manage bid solicitation documentation for small business and diversity participation.
Tracking & Reporting
- Track daily reports, subcontractor deliverables, and contract requirements through project management platforms.
- Upload and maintain permit records and drawing revisions.
- Assist with job budgets and schedules of value for upload to internal systems (e.g., Sage).
- Initiate and track Request for Quotes (RFQs) and Package Change Orders (PCOs).
- Log subcontractor commitments and approved change orders.
- Support preparation for monthly Work-In-Progress (WIP) financial updates.
Project Closeout
- Assist with compiling and submitting closeout documents, warranties, inspection reports, and training materials.
- Support coordination of punch list completion and owner training schedules.
- Ensure all required closeout documentation is completed and submitted per contract requirements.
Qualifications:
- High school diploma or equivalent required; associate or bachelor's degree preferred.
- 3+ years of administrative, construction support, or project coordination experience preferred.
- Strong computer proficiency, especially in Microsoft Office.
- Experience with project management software is a plus.
- Excellent communication, organizational, and time-management skills.
- Ability to manage multiple priorities and collaborate across departments and project teams.
