About the Role

We're looking for a Rental Coordinator who enjoys connecting with clients, keeping details in order, and supporting the flow of rental operations from start to finish. You'll be the friendly voice customers talk to, the problem-solver who keeps everything on track, and a key link between the office, warehouse, and event teams.

This is a great role for someone who loves events, thrives in a busy atmosphere, and takes pride in delivering a great customer experience.

What You'll Do

  • Welcome and assist clients by phone, email, and in our showroom
  • Create accurate rental quotes, contracts, and invoices
  • Maintain rental calendars and track inventory availability
  • Coordinate delivery, pickup, and setup schedules with our operations crew
  • Communicate event details clearly to warehouse and delivery staff
  • Monitor orders from start to finish to ensure nothing falls through the cracks
  • Help clients make informed rental decisions and recommend alternatives when needed
  • Keep our showroom organized, clean, and ready for visitors
  • Note damaged or missing items and report them promptly
  • Support the team however needed during busy weeks (we all pitch in)

What We're Looking For

  • Strong communication skills and a genuine customer-service mindset
  • Someone who stays organized even when juggling multiple projects
  • A positive team player who's not afraid to jump in when things get busy
  • Comfortable learning new software and working with inventory systems
  • Experience in events, hospitality, retail, customer service, or office coordination is a plus
  • Ability to lift 25–40 lbs on occasion (sample items, smaller décor pieces, etc.)
  • Willingness and ability to work weekends; especially during busy season.

Schedule

  • Primarily Monday–Friday + Installs/removals on many weekends
