Job Title: Family Law Firm Administrator Location: Durham/Cary, NCJob Type: Full-TimeCompensation: Salary based pay: $75,000 to $95,000 dependent on experienceReports To: Managing Partner
Position Summary
The Firm Administrator ensures the smooth and efficient operation of the firm's administration, facilities, and people functions. Working closely with the Managing Partner and department leads, this role manages vendor coordination, employee onboarding, office operations, and the execution of key projects such as new office launches. The Firm Administrator acts as the firm's central point of coordination translating leadership direction into consistent daily execution.
Core Responsibilities1. People & Office Management
- Support recruiting, onboarding, and offboarding processes.
- Coordinate performance review logistics, maintain personnel records with HR system, manage and approve/disapprove staff PTO requests while ensuring appropriate coverage during said time.
- Organize firmwide meetings and events, staff communications, and recognition initiatives.
- Recognize staff birthdays and office anniversaries
- Manage day-to-day office operations including supplies, maintenance, and vendor support.
- Handle intraoffice disputes.
2. Vendor & Systems Coordination
- Manage vendor relationships and serve as the liaison between service providers and firm leadership.
- Oversee the onboarding of new vendors ensuring contracts, insurance, and documentation are complete and organized.
- Support implementation of new technology or systems by coordinating staff training and rollout logistics.
3. Office Expansion & Facilities Support
- Coordinate logistics for new office openings, relocations, or expansions under direction of firm leadership, including connecting with local Chambers of Commerce for ribbon cuttings and other networking groups.
- Handle vendor sourcing, space planning coordination, and move management.
- Plan and oversee setup of office equipment, supplies, and systems to ensure operational readiness.
- Maintain safety, access, and facility compliance documentation.
- Coordinate any maintenance, updates and repair for office equipment in all locations.
4. Project Execution & Process Improvement
- Execute and track progress on key firm projects assigned by firm leadership.
- Document processes and recommend efficiency improvements in coordination with leadership.
- Maintain visibility on deadlines, deliverables, and dependencies across departments.
- Support culture initiatives, staff engagement efforts, and change management.
Qualifications
- Bachelor's degree in Business Administration, Management, or related field (or equivalent experience).
- 3–5 years of experience in operations, HR coordination, or office management (law firm preferred).
- Strong organizational, communication, and problem-solving skills.
- Experience managing vendors and coordinating multiple workstreams.
- Proficiency with Microsoft 365 and familiarity with practice management or HR systems (e.g., Smokeball, Clio, or Rippling).
- Notary public or willingness to become one preferred.

Compensation & Benefits
- Salary-based pay: $75,000 to $95,000 dependent on experience.
- PTO.
