Compensation: Pay commensurate with experience
We are seeking a highly organized, detail-oriented, and customer-focused Office Coordinator to serve as the central support hub of our organization. This role is ideal for a professional who thrives in a fast-paced office environment, enjoys multitasking, and takes pride in delivering superior customer service while supporting daily administrative and executive functions.
Key Responsibilities
- Serve as the first point of contact for all visitors and callers, providing a professional and welcoming receptionist experience
- Process and manage vendor payments, ensuring accuracy and timeliness
- Handle catering orders and purchasing administration for meetings and company events
- Manage incoming and outgoing mail, including distribution and documentation
- Collaborate closely with the accounting team to log and reconcile all incoming checks
- Perform accurate data entry for every new incoming lead into internal systems
- Provide executive-level administrative support, including coordination, scheduling, and task follow-up
- Deliver superior customer service to internal teams, vendors, and external partners
- Maintain a high level of attention to detail in all administrative and financial tasks
Qualifications & Skills
- High school diploma required (minimum); Bachelor's degree preferred
- Proven experience in an office coordination, administrative, or similar role
- Strong organizational and time-management skills with the ability to prioritize effectively
- Exceptional written and verbal communication skills
- High degree of accuracy and attention to detail
- Professional demeanor with a customer-service mindset
- Ability to work independently and collaboratively across departments
- Bilingual skills are a plus
Additional Requirements
- Candidates must be willing to complete a Culture Index assessment as part of the hiring process
