We are looking for a dynamic individual to join our team as Accounts / Admin Assistant, responsible to perform daily accounting and admin tasks of the organization. These include, but are not limited to, processing accounts receivables / payables, bank deposits, day to day accounting, vendor management, purchasing, payroll processing, filing and other related admin works. Candidates should be intelligent, humble, success-oriented individuals who succeed well in a team environment.
Responsibilities
- Reconcile invoices and identify discrepancies
- Prepare bank deposits
- Enter financial transactions into internal databases accurately
- Maintain digital and physical financial records
- Issue invoices to customers and external partners, as needed
- Review and file payroll documents & reports
- Handle purchasing of materials & office supplies
- Ensuring accuracy of Time and Attendance data and various accruals.
- Ensuring compliance governmental laws and regulations.
- Other Financial, Data analysis & accounting activities as required
- Scheduling job interviews and assisting in hiring / interview process
- Prepare offer and new hire documents
- Assist in benefits administration, including processing new hires, terminations and employee changes
- Maintains the integrity and confidentiality of human resources files and records.
- Reviewing candidates to determine match for positions based on qualifications.
- Administrative support including scheduling/event logistics, candidate letter generation, in-bound/out-bound phone calls, test administration, database updates/management, etc.
- Maintain I-9 files / filling W4 and other government filings
- Performs other Accounting / admin / HR related works as assigned.
Skills
- Thorough working knowledge of accounting software (e.g. QuickBooks)
- Work experience as an Accounting Assistant or Accounting Clerk
- Knowledge of basic bookkeeping procedures
- Good math skills and the ability to spot numerical errors
- Advanced level experience with MS office programs – word, excel, powerpoint etc.
- Organization & time management skills
- Ability to handle sensitive, confidential information
- Excellent verbal and written communication skills
- Ability to work under pressure in a fast paced environment
Education and Experience
- Diploma or Any Study in accounting / finance
- One – Three years' experience of complete accounting activities, including accounts receivables, payable and payroll processing & admin/ HR related activities.
Qualifications
- Must be at least 18 years old or the minimum age required by the Florida State to work
- Must be a U.S. citizen or a foreign citizen authorized to legally work in the United States
- Must not use illegal drugs. Must be able to pass a drug test with negative results (except when undergoing documented medical treatment).
- Must submit an extensive background check, including criminal history, personal references, employment and education verifications, and Department of Motor Vehicle and credit checks if applicable
- All applicants must agree to drug screening, background check and reference checks as a condition of hiring.
