At Saxony Thermal we use NetSuite as the backbone of our entire operation. This has allowed us to automate many of our day to day functions, and streamline how we work as a team. Becasue of this streamlining, many roles at Saxony Thermal are Hybrid. In this role, you will be responsible for the full cycle of our accounts payable and some of the basic HR responsiblities.
We're looking for people who want to dive in, produce excelent work, make our clients, team members and vendors successful everyday. If you were to start working here today you would be taking over the accounts payable process, learning how we use our financial planning and reporting system and getting to know our healthcare and payroll providers. On a daily basis you would be maintaining accurate books and looking for ways to improve that accuracy and automation in our financial systems.
Key responsibilities
- Purchase Processing: Prepare purchase orders based on NS repository demand and other purchasing demands.
- Incoming Invoice processing: Receive, verify, and process incoming invoices, ensuring they are accurate and authorized.
- Payment preparation: Prepare and process biweekly payments to vendors and employees (payroll through and expense reports though our payroll vendor/administrator).
- Discrepancy resolution: Identify and resolve discrepancies between purchase orders and invoices directly with vendors as needed.
- Vendor management: Establish new vendors and maintain accurate vendor files, including W-9s for tax reporting. Establish volume pricing and discounts.
- Record keeping: Maintain accurate records of all financial transactions and reconcile accounts, such as credit card accounts and bank accounts.
- Reconciliation: Reconcile vendor statements, bank statements and other financial records to ensure accuracy in coordination with outside accounting for end of month activities.
- Policy adherence: Ensure all payments are made in a timely manner and in compliance with financial policies and procedures.
- Employee relations: Act as a liaison between employees and management, mediate disputes, and help resolve workplace grievances.
- Compensation and benefits: Administer employee benefits programs, process payroll, and ensure that compensation aligns with company policies and legal requirements.
- Policy and compliance: Develop and enforce HR policies, ensure compliance with labor laws and regulations, and maintain updated employee records.
- Onboarding: Coordinate the hiring process with managers. Organize and conduct new employee orientation and onboarding to ensure a smooth transition into the company.
Skills and qualifications
- Attention to detail: Crucial for accuracy in a role that involves processing financial transactions.
- Time Management: Necessary for managing multiple tasks, prioritizing, and keeping detailed records.
- Accounting knowledge: A foundational understanding of accounting principles and practices is required.
- Software proficiency: Experience with accounting software (like QuickBooks or SAP) and Microsoft Excel is often required.
- Analytical skills: Needed to review vendor statements and resolve discrepancies.
- Communication skills: Important for communicating with vendors, employees, and other departments.
- Education: A high school diploma is a minimum requirement, though some employers may prefer an associate's or bachelor's degree in a related field.
