Overview
We are seeking a highly organized and detail-oriented Office Assistant to join our dynamic team. This role is essential in maintaining smooth office operations, providing exceptional customer service, and supporting administrative functions across various departments. The ideal candidate will possess strong computer literacy, excellent communication skills, and experience with office management tools. Bilingual abilities are a plus to effectively serve diverse clients and staff. The Office Assistant provides administrative and clerical support to the office and field teams. This position helps with scheduling, data entry, billing, and general office organization. The ideal candidate is dependable, and comfortable working in a fast-paced construction environment.
Responsibilities
- Answer phones, greet customers, and respond to inquiries in a professional manner.
- Schedule estimates, job materials and deliveries in coordination with the owner and foremen.
- Prepare and process invoices, purchase orders, and job-related paperwork.
- Maintain organized digital and physical filing systems.
- Input project data, material quantities, and timesheets into company systems.
- Assist with expense tracking (as needed).
- Support the estimating and project management teams with proposals and contracts.
- Order office and job site supplies.
- Communicate with customers regarding scheduling, billing, and project updates.
- Assist with social media posts or marketing materials (optional).
- Answer emails and phone calls in a professional and timely manner
- Collect and submit weekly employee forms
- Assist with onboarding new employees as needed
- Act as a liaison for uniforms and safety matters to management
Experience
- Prior office experience is preferred, especially in administrative or clerical roles such as receptionist or personal assistant
- Familiarity with office management software including QuickBooks, Microsoft Office (Word, Excel), and Google Workspace is highly desirable
- Experience working with multi-line phone systems and providing excellent customer service is essential
- Bilingual proficiency in English and Spanish is a strong asset to support diverse client interactions
- Demonstrated organizational skills with the ability to manage multiple priorities efficiently
- Strong typing skills and attention to detail for proofreading documents and data entry tasks
- Proven ability to handle phone etiquette professionally while supporting a busy office environment
- Ability to handle confidential information with discretion
Job Type: Part-time
Pay: $ $20.00 per hour
Expected hours: 16 – 32 per week
