About the Role
Maze Rally is seeking a Project Coordinator to join our growing operations team in Raleigh, North Carolina.
In this position, you'll play a key role in coordinating day-to-day project activities, supporting team communication, and ensuring that all projects run smoothly from start to finish. You'll work closely with multiple departments — including operations, logistics, and client services — to keep projects on schedule, within scope, and aligned with Maze Rally's standards of quality and excellence.
This role is ideal for someone who is highly organized, detail-oriented, and thrives in a collaborative, fast-paced environment.
Key Responsibilities
Project Planning & Coordination
- Assist in the development and execution of project plans, timelines, and milestones.
- Coordinate meetings, resources, and deliverables across teams.
- Track progress and proactively address potential challenges or delays.
Communication & Documentation
- Serve as the primary point of contact for project-related communication.
- Maintain up-to-date project documentation, schedules, and reports.
- Prepare meeting notes and follow-up summaries to ensure accountability and alignment.
Operational Support
- Support logistics and resource management to ensure successful project execution.
- Liaise with vendors, partners, and internal stakeholders to facilitate smooth operations.
- Monitor project budgets and provide basic reporting or administrative support to leadership.
Reporting & Continuous Improvement
- Collect and analyze project performance data to identify trends and improvement opportunities.
- Support the implementation of new tools or workflows that improve team efficiency.
About You
You're an organized multitasker with a passion for teamwork and efficiency. You take initiative, communicate clearly, and enjoy coordinating efforts across departments to achieve common goals. You value accuracy, accountability, and collaboration.
Essential Skills & Experience
- 2–4 years of experience as a Project Coordinator, Administrative Assistant, or similar role.
- Strong organizational, time management, and communication skills.
- Proficiency in Microsoft Office Suite and project management tools (e.g., Asana, Trello, or ).
- Ability to handle multiple projects simultaneously while maintaining attention to detail.
- Bachelor's degree in Business Administration, Communications, or a related field preferred.
