Job Title: Project Accounting Coordinator

Job Description

This position involves preparing fee proposal templates, draft contracts, and subcontracts for review. You will ensure that projects adhere to contract language and requirements, issue and track project amendment documentation, and coordinate reviews. Additionally, you will develop Work Breakdown Structures (WBS) and Project Authorization forms, including budgets and client invoicing requirements. Assisting the project manager with processing subconsultant invoices through the project accounting system is also a key part of the role.

Responsibilities

  • Monitor project financials, including variance, revenue, budgets, and Work in Progress (WIP).
  • Follow up on revenue variance issues and revenue recovery.
  • Serve as a liaison between internal staff, suppliers, and clients, effectively communicating on behalf of Project Managers.
  • Conduct pre-bill reviews with Project Managers as necessary.
  • Participate in monthly project review meetings and collaborate with Business Operations teams.
  • Assist Business Operations with analysis of project budget performance and provide recommendations to improve financial outcomes.

Essential Skills

  • Experience with change orders, contract, invoicing, Deltek, BST, and Vantagepoint.
  • Must be proficient in creating pivot tables and Vlookups in Excel.
  • Proficient within Deltek, BST, or Oracle.

Additional Skills & Qualifications

  • Deltek Vantagepoint is a plus.
  • Experience being part of an ERP implementation, preferably Vantagepoint.
  • 3+ years of experience entering invoices.
  • 3+ years of experience drafting contracts and subcontracts.
  • 3+ years of experience preparing proposal templates.
  • 3+ years of experience with change orders.
  • Experience working for an engineering or architectural firm with revenue over $150 million.

Work Environment

Pay and Benefits

The pay range for this position is $ $42.00/hr.
