Job Overview:

We are seeking a new team office admin who is a positive team player, proactive, and detail-oriented to join our team. We are a property management office that is growing quickly and this is a wonderful opportunity for someone who likes working in a more intimate, smaller business office setting.

In this role, you will primarily assist with activities with office administration. It will include doing customer service calls, emails, accounts payable and receivable, ensuring timely and accurate processing of invoices, payments, and records.

The ideal candidate will have a strong understanding of basic accounting principles and excellent organizational skills to help maintain smooth operations. You must be able to have a positive, can-do attitude and answer our phone calls from clients with a warm, helpful tone.

Key Responsibilities:

  • General Administrative Support:
  • Assist with property management office tasks as needed.
  • Prepare financial reports and statements as requested.
  • Maintain files and documentation in an organized and easily accessible manner.
  • Answer phone calls and respond to inquiries related to accounts payable/receivable.
  • Accounts Payable:
  • Process vendor invoices and ensure proper documentation for payment.
  • Verify and reconcile accounts payable statements.
  • Ensure timely and accurate payment to vendors and contractors.
  • Maintain records of all accounts payable transactions.
  • Accounts Receivable:
  • Generate and send out invoices as needed.
  • Process incoming monthly homeowners payments, ensuring correct application to accounts.
  • Follow up on overdue payments and assist with collection efforts.
  • Maintain and update accounts receivable records.

Qualifications:

  • Have good references from recent employer(s)
  • Previous experience in accounts payable, accounts receivable, or property management is a plus.
  • Strong understanding of basic accounting principles and financial processes.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook); experience with accounting software AppFolio is a plus.
  • Excellent attention to detail and strong organizational skills.
  • Strong communication skills, both written and verbal.
  • Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
  • Ability to work with the team with a positive demeanor and have good customer service attitude during stressful situations.

Schedule:

  • Flexible hours, with the possibility of adjusting based on workload.

Compensation: $ /hr. Depends on experience
