The Administrative Support – Mailer Operations Lead is responsible for overseeing and coordinating all mailer-related activities within the firm. This role supervises the Administrative Support Assistant, ensures all mailers are completed accurately and on schedule, and personally handles time-sensitive deliveries to the post office. The ideal candidate is reliable, organized, and capable of managing workflows in a fast-paced environment. This position requires access to a personal vehicle for transporting firm mailings.

Key Responsibilities

  • Oversee daily mailer operations and provide direction to the Administrative Support Assistant.
  • Ensure all client mailers, legal notices, and marketing outreach materials are completed accurately and meet firm quality standards.
  • Manage and enforce mailing schedules, ensuring all deadlines for outgoing mail are consistently met.
  • Deliver completed mailers to the post office, mail drop locations, or courier services as required; maintain accurate records of deliveries.
  • Coordinate with attorneys, legal teams, and administrative staff to confirm mailing requirements, deadlines, and special instructions.
  • Review mailing lists, verify accuracy, and ensure documentation is properly maintained.
  • Assist in the preparation and assembly of mailers during high-volume periods.
  • Monitor inventory of mailing supplies and oversee ordering and restocking.
  • Troubleshoot and maintain basic functionality of mailing equipment.
  • Uphold strict confidentiality and comply with all legal and firm policies.
  • Provide additional administrative support as needed, such as filing, data entry, and document preparation.

Qualifications

  • High school diploma or equivalent required; additional administrative or office training preferred.
  • Previous administrative, mailroom, or office coordination experience required; supervisory experience is a plus.
  • Strong organizational and leadership skills with the ability to manage deadlines and delegate tasks effectively.
  • Excellent attention to detail and accuracy.
  • Reliable personal vehicle and valid driver's license required.
  • Ability to lift up to 25 lbs and manage large quantities of mail when needed.
  • Strong communication and interpersonal skills.
  • Ability to problem-solve and work independently with minimal supervision.
  • Commitment to professionalism and confidentiality.

Work Environment & Schedule

  • Full-time, on-site role with regular daily trips to mail drop locations or the post office.
  • Standard business hours; occasional flexibility may be required during high-volume mail cycles or deadline-driven periods.
