Summary of Duties and Responsibilities:
The Clinical Operations MA Training Supervisor ensures the standardization of all MA workflows across the health center under the direction of the Director of Clinical Operations. This position is responsible for overseeing MA training development and coordinating initial and recurring training with Practice Supervisors/Administrators at each site. The Clinical Operations MA Training Supervisor supports the development and implementation of programs, policies, procedures, and process improvements in collaboration with the Practice Administrator. The key focus for the Clinical Operations MA Training Supervisor is to support the health center's initiatives of quality improvement, productivity goals, DPI, and transition to value-based care. Decision-making responsibilities are expected.
Primary Duties and Responsibilities:
- Oversees MA training development and ensures it is standardized, timely and effective. Serves as focal point for medical staff in all MA workflows.
- Coordinates CSMA Trainer and CSMA Float work schedules and daily assignments to support MA training needs and address skill gaps. Directs team efforts and partners with MA preceptors at each site to support follow-up training as needed.
- Maintains open communication with Providers, Practice Supervisors and MA preceptors to troubleshoot situations that may arise between the health center and support staff. Provides feedback to the Practice Administrator.
- Directs training audits of MA staff quarterly to ensure effectiveness of support staff and overall training program.
- Partners with Clinical Operations PSR Training Supervisor to conduct quarterly training meetings with CSMA/PSR trainers, Practice Supervisors, and MA/PSR Preceptors to discuss trends, gaps, and develop courses of action.
- Reviews, verifies, and/or edits CSMA trainer and CSMA Float timecards and finalizes timecard with approval in accordance with policy.
- Hires, trains and supervises personnel to assure efficient workflow of the department(s). Evaluate performance. If necessary, monitor progressive discipline and recommend termination. Manage departmental workload by assigning/reassigning duties and responsibilities as required to accommodate changing priorities and conditions.
- Contributes as a meeting leader in team huddles to provide workflow or training observations.
- Directs and controls the functional operation of the department. Supports and maintains Variety Care personnel, finance, and safety policies and procedures.
- Fosters an atmosphere within the department that promotes quality service to Variety Care patients and internal customers through active listening, attention to accuracy and personal responsibility for business outcomes.
- Trouble-shoot day to day work-related or staffing issues and provides back-up for all support staff position reporting to the Practice Administrator in emergencies.

Essential Functions:
- Must be able to lift 25 pounds.
- Ability to assist patients on to and off exam table/chair when asked or directed.
- Ability to sit, walk, bend, lift, and remain on feet for extended periods of time
Requirements, Special Skills or Knowledge:
- A high school diploma or GED.
- Three (3) years of leadership experience or Five (5) years of medical assistant experience
- Medical Assistant Certification/Registration required.
- Legible handwriting.
- Basic mathematical skills.
- Basic computer skills. Ability to use or willing to learn to expertly use electronic health records software.
- Experience as a Medical Assistant (Family Medicine, Pediatrics, Women's Health)
- Experience maintaining and handling the confidentiality of patient and staff information.
- Experience interacting and communicating effectively with individuals at various levels both inside and outside the organization, often in sensitive situations.
- Experience withstanding varying job pressures.
- Experience organizing and prioritizing related tasks.
- Experience working in an active, multifaceted, and sometimes stressful environment.
Preferred Skills or Knowledge:
- Bachelor's degree or four (4) years of supervisory or leadership role.
- Healthcare certifications or licenses.
- Bilingual (English/Spanish).
