Duties
- Manage and coordinate all administrative functions within the legal office, including scheduling appointments, meetings, and court dates using calendar management tools.
- Oversee front desk operations, greeting visitors, handling multi-line phone systems with professionalism and courtesy, and maintaining excellent phone etiquette.
- Organize and maintain filing systems—both physical and electronic—ensuring all legal documents, client records, and correspondence are accurately stored and easily accessible.
- Assist with vendor management by coordinating with external service providers, managing contracts, and tracking expenses related to office supplies and services.
- Handle bookkeeping duties including invoicing, banking, expense tracking, and budget monitoring to ensure financial accuracy and accountability.
- Facilitate event planning for team meetings, training sessions, or client events to promote team cohesion and professional development.
- Process and distribute incoming mail and correspondence
- Provide administrative and clerical support to attorneys and paralegals as needed
- Assist with general office organization and daily operations
- Ordering office supplies and maintaining the office supply center
- Perform a range of case-related duties, including drafting email correspondence, letters, requesting medical records/bills, and documentation to clients, government agencies, and colleagues
- Provide clients' matters status updates to clients and senior-level team members
Requirements
- Proven experience in office management or administrative roles within a professional environment; prior experience in a legal or medical office is a plus.
- Strong organizational skills with the ability to multitask efficiently in a fast-paced setting.
- Excellent communication skills—both verbal and written—to interact effectively with clients, vendors, staff, and visitors.
- Proficiency in scheduling software, Microsoft WORD (365), Outlook email, multi-line phone systems, QuickBooks accounting software, and general office technology.
- Knowledge of bookkeeping practices, budgeting processes, filing systems, and clerical procedures.
- Ability to handle sensitive information discreetly while maintaining professionalism at all times.
- Professional appearance with strong communication and interpersonal skills

- Strong attention to detail combined with proactive problem-solving skills to streamline office operations.
