Brief: The Operations and Purchasing Manager is responsible for overseeing Vessel Kitchen's daily purchasing operations and procurement activities to ensure smooth business operations, cost-effective purchasing, and consistent supply chain management. This role bridges the gap between operations, vendors, and management—ensuring that products, equipment, and services are delivered on time, within budget, and meet quality standards. This role supports the Director of Operations and District Manager in daily operational functions while leading the purchasing strategy. You will collaborate closely with the Director of Accounting to maintain accurate and reliable financial data, communicate data to the team, and support cross-functional teams. This position plays a key role in optimizing workflows, aligning operations with organizational goals, and ensuring resources are used effectively with minimal waste. The ideal candidate is a detail-oriented, solutions-driven leader with proven experience in procurement and operational management. Restaurant or retail background is preferred.

Duties/Responsibilities:

  • Work with Director of Operations to lead all purchasing functions including sourcing, negotiation, vendor selection, and contract management for the operations team
  • Maintain optimal inventory levels and coordinate supply chain logistics
  • Analyze purchasing trends and identify cost-saving opportunities
  • Ensure compliance with purchasing policies, budget limits, and audit requirements
  • Manage relationships with suppliers to ensure product quality, reliability, and on-time delivery

  • Collaborate with department leaders to align resources with organizational objectives

  • Supervise and support administrative or purchasing staff as assigned
  • Serve as a liaison between operations, finance, and other departments
  • Train team members on new systems, policies, and procedures
  • Prepare and present reports on operational and procurement metrics to leadership
  • Identify inefficiencies and implement process improvements across departments

  • Maintain detailed records of purchase orders, invoices, and vendor communications.

  • Work with Accounting to ensure timely and accurate billing and payment processes.
  • Prepare regular reports on purchasing activity, cost savings, and operational performance.
  • Monitor and control departmental budgets, spending, and cost forecasting
  • Ensure compliance with internal policies and external regulatory standards
  • Work closely with Finance to reconcile invoices, resolve discrepancies, and track expenses
  • Support budgeting and cost-control efforts through efficient purchasing and waste reduction.

Qualifications:

  • Bachelor's degree in Business Administration, Operations Management, Supply Chain, or a related field (preferred)
  • 3+ years of experience in operations and purchasing, with at least 2 years in a managerial or supervisory role
  • Strong negotiation, communication, and project management skills
  • Proficient in Google Suite and procurement systems
  • Ability to manage multiple projects and priorities in a dynamic environment
  • Experience in a fast-paced industry such as food service, manufacturing, or retail
  • Familiarity with supply chain logistics and inventory control systems
  • Leadership experience with the ability to coach and develop team members.
