Department-Level Support (70%)

  • Provide comprehensive accounting support for the department, including issuing purchase orders, tracking budgets, processing payments, and related tasks.
  • Offer general administrative assistance to the FCD team, which includes:
  • Test Team Support: Reserve meeting rooms, coordinate meeting schedules, order supplies, and more.
  • Department Meeting Support: Assist with scheduling meetings, preparing agendas, and assembling materials to ensure smooth meeting execution.
  • Litigation Hold Assistance: Help respond to TL1 requests for litigation holds from FCD.
  • Team Building Coordination: Organize on-site and off-site team-building activities as needed.
  • FCD Fleet Management: Oversee the use, maintenance, tracking, registration, and distribution of FCD vehicles (leases and purchases) to appropriate teams and individuals.
  • West Coast Operations Support: Manage visitor tracking, coordinate resources, and provide general assistance to visiting personnel.
  • Process Development: Create and refine processes to address site-wide needs, such as the evacuation process.
  • Visitor Training: Develop and present safety training materials for visitors to the Gardena/Carson facilities (including facility safety requirements and resource scheduling).

Shared Services Office Support (Gardena & Carson) (20%)

  • Maintain and stock cafeteria supplies for the Gardena and Carson campuses, while communicating with PPS about supply needs and deficiencies.
  • Oversee and manage office supply rooms, ensuring that standard and non-standard supplies are well-stocked, and making recommendations for purchasing decisions.
  • Organize and maintain mail rooms.
  • Prepare hoteling work areas for visitors by keeping desks and rooms tidy and free of unnecessary materials.
  • Assist in managing the fitness center, ensuring procurement, compliance, budget management, and communication with Corporate Shared Services.
  • Oversee vending services on-site, managing vendor relations and addressing any site-specific issues.

External Affairs (10%)

  • Support and collaborate with local community initiatives, including events and donations with the 186th Street School.
  • Assist in organizing and managing local donation drives (for schools, charities, etc.).
  • Coordinate and facilitate the "Adopt a Family" program, engaging members and supporting local community needs.

Requirements:

  • Minimum 3 years of general office/department support experience.
  • Strong verbal, written, and interpersonal communication skills.
  • Exceptional customer service abilities.
  • Proficiency in MS Office (Outlook, Excel, PowerPoint, Word).
  • Familiarity with SharePoint, Visio, and Project is a plus.
  • Excellent organizational skills and meticulous attention to detail.
  • Ability to work independently and as part of a team.
  • Preferred: Bilingual in English and Japanese (speaking, listening, reading, and writing).

Job Type: Contract

Pay: $ $40.00 per hour
