POSITION SUMMARY

The Sales Coordinator provides administrative and operational support to the Sales Manager and Director of Sales, assisting with strategic sales and experiential event initiatives across Collared Martin Hospitality and the Faraway brand portfolio. Based in the Boston corporate office, this role is responsible for supporting topline performance across all properties by assisting in the execution of defined sales strategies, maintaining client relationships, and ensuring smooth event coordination.

LOCATION: Boston, MA (travel required)

PRIMARY RESPONSIBILITIES/ESSENTIAL FUNCTION

Sales Support & Business Development

  • Assist the Sales Manager in proactively capturing new group, event, and corporate business.
  • Support the Sales Manager in maintaining and expanding relationships with existing clients.
  • Help execute the company's established sales and events strategy to achieve topline revenue goals.
  • Assist in driving conversion by supporting efforts to target high-value segments including luxury leisure, group, and special events.

Team Collaboration & Alignment

  • Participate in weekly Group Rooms & Catering (GRC) meetings, providing support for aligning sales, catering, and operations on active leads, pipeline status, and conversion priorities.
  • Collaborate with sales team members to ensure effective and consistent execution.
  • Reinforce a culture of storytelling and guest-first selling.

Event Coordination & Client Handover

  • Assist the Sales Manager in the productive handover of contracted group and event business to F&B leaders and banquet teams.
  • Support the Sales Manager and operations leaders to guarantee seamless planning and execution of group business.
  • Help ensure flawless delivery of private gatherings, group programs, and high-end experiences across the portfolio.

Market Awareness & Partnerships

  • Support efforts to maintain strong relationships with luxury travel agencies, event planners, and corporate clients.
  • Assist in staying informed on the competitive landscape and market activity.

Fiduciary Responsibility

  • Assist Sales Manager and Director of Sales to secure and complete deposits in accordance with company policies and financial guidelines.
  • Provide support to the finance department to ensure timely collection of payments based on agreed-upon schedules.
  • Support and track the completion of final payments and/or the return of credits/unused funds to clients as necessary.

Performance Reporting & Collaboration

  • Assist in preparing monthly recaps of prior results, with clear 30-, 60-, and 90-day action plans.
  • Support transparent performance reporting to senior leadership and Blue Flag Capital.
  • Collaborate cross-functionally with revenue management, marketing, operations, and brand design to ensure alignment and consistency.

Guest Experience Oversight

  • Champion guest-first thinking across all sales and events efforts.
  • Assist in partnering with hotel managers and HR to ensure service excellence and elevated guest experiences.

QUALIFICATIONS

  • Previous experience in hospitality sales or event coordination is preferred.
  • Strong organizational and communication skills.
  • Ability to build trust and maintain relationships.
  • Proficiency in Microsoft Office Suite.
  • Willingness and ability to travel occasionally between properties and key market hubs.
