USAirports is a family-owned, full service FBO that operates 24/7/365 and serves the general aviation community as a fixed base operator in a state-of-the-art facility on the south side of the Frederick Douglass - Greater Rochester International Airport. USAirports provides a full range of amenities and ground support services such as fueling, hangaring, aircraft maintenance, cargo handling, tie-down, and ramp parking to the personal and corporate tenants of the airport as well as transient aircraft.

We are seeking a highly organized and detail-oriented Aircraft Maintenance Office Assistant to support our aircraft maintenance and operations departments. This position works closely with and under the supervision of the Accountable Manager and Finance Manager, playing a key role in ensuring the smooth execution of daily administrative tasks, inventory control, compliance tracking, and inter-departmental coordination. In addition, this position will also assist with performing line service operations.

Reports to: VP – Aviation Services

Full Time Hours: A Shift: 0500 – 1330

Workdays: Monday through Friday

Hourly Rate: $20.00 to $24.00/hr.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Aircraft Maintenance Department

  • Track, order, and manage inventory for aircraft parts, consumables, and shop supplies.
  • Manage shipping and receiving of parts.
  • Maintain relationships with vendors and suppliers.
  • Perform standard office duties such as filing, typing, answering phones, and distributing mail.
  • Update and manage aircraft maintenance databases and records to ensure compliance and accuracy.
  • Maintain accurate logs for aircraft maintenance, including work orders, inspections, and service records.
  • Prepare and submit reports on maintenance activities, costs, and compliance for management and regulatory authorities.
  • Maintain current hazardous material data sheets and OSHA compliance records.
  • Perform detailed cleaning of aircraft interiors and exteriors, including wings, fuselages, and cockpits, often by hand.
  • Help maintain the cleanliness and organization of hangars, workshops, and office spaces.

Operations Department

  • Refuel aircraft and ground service equipment.
  • Deice aircraft.
  • Drive fuel trucks and ground support vehicles.
  • Park, tow, store, and secure aircraft; direct movement of aircraft and vehicular traffic on the aircraft operating area.
  • Assist passengers in an appropriate manner
  • Meet arriving and dispatch departing aircraft.
  • Monitor and maintain fuel inventories on fuel trucks.
  • Provide lavatory service, water service and supply restocking as requested.
  • Provide shuttle service for passengers and crew as required.
  • Assist with general cleaning and clearing debris from ramps, building and customer areas.
  • A high regard for customer service for the flight crews and passengers of privately owned aircraft must be maintained.
  • Ability to successfully and timely complete USAirports training and computer-based training modules.

Requirements:

QUALIFICATIONS:

  • Minimum 18 years of age.
  • Required documentation: valid Driver's License, birth certificate and/or passport.
  • Able to pass a 10-year background check, receive and maintain an airport security badge.
  • Able to acquire customs seal through US Customs and Border Patrol.
  • Diploma required; Associate degree preferred.
  • Mechanical aptitude preferred.
  • Proficiency in Microsoft Office with the ability to manage complex data sheets and create well-formatted documents.
  • Strong interpersonal, verbal, and written communication skills.
  • Ability to prioritize daily and special projects.

PHYSICAL DEMANDS AND WORK ENVIRONMENT:

  • Able to work in a fast-paced work environment with efficiency and accuracy.
  • Able to perform repetitive tasks and motions, including bending at the waist and knees, standing, sitting, squatting, kneeling, crawling, and twisting for extended amounts of time.
  • Must be able to lift and carry 50 lbs. from floor to waist level.
  • Must be able and willing to work in elevated environments over 12 feet.
  • Must have sufficient vision and ability to safely perform the essential functions of the position.
  • Ability to wear PPE (personal protective equipment) such as ear protection, safety glasses, gloves, and high visibility clothing when required.
  • Certain functions may be performed in varying weather and environmental conditions such as precipitation, extreme temperatures, jet engine fumes, dust, and noise.
  • Tasks are performed inside and outside near stationary and moving aircraft (including spinning propellers and engines).
