Overview

We are seeking a highly organized and professional Administrative Assistant to join our team. This role is vital in ensuring smooth office operations, providing exceptional customer service, and supporting management with various administrative tasks. The ideal candidate will possess strong computer skills, office management experience, and excellent communication abilities. Bilingual skills are a plus, as well as experience with QuickBooks, Microsoft Office, and Google Workspace. Duties

  • Manage front desk operations, greeting visitors and directing calls using multi-line phone systems
  • Handle incoming calls with professional phone etiquette and provide excellent customer support
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization
  • Schedule appointments, manage calendars, and coordinate meetings using calendar management tools
  • Utilize Microsoft Office and Google Workspace for document creation, editing, and communication
  • Maintain office supplies inventory and assist with office management tasks
  • Support bookkeeping activities using QuickBooks as needed
  • Assist with personal or executive support tasks such as calendar management and correspondence
  • Provide clerical support including typing, proofreading, and organizing files
  • Ensure the office environment remains organized and efficient

Requirements

  • Proven office experience with strong organizational skills and attention to detail
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and data entry skills
  • Experience with QuickBooks, bookkeeping, or office management systems preferred
  • Excellent communication skills with professional phone etiquette; bilingual abilities are a plus
  • Strong organizational skills with the ability to multitask effectively in a fast-paced environment
  • Previous clerical or administrative experience is highly desirable
  • Ability to handle front desk responsibilities efficiently and courteously
  • Familiarity with medical or dental receptionist duties is advantageous but not required
  • Personal assistant or customer service experience will be considered an asset
  • Demonstrated computer literacy and time management skills

Job Type: Full-time

Pay: $62, $78,000.00 per year
