Accounting Coordinator

The Position

Above Group is seeking a dependable and detail-orientated Accounting Coordinator to support the Senior Accounting Specialist in maintaining accurate and efficient accounting operations. This position will primarily assist with accounts receivable (AR), invoicing, and administrative coordination, ensuring timely, billing, organized records, and strong communication between project teams, clients, and the finance department. The ideal candidate will be proactive, organized, and eager to learn with in a collaborative, fast-paced MEP design firm environment. This role offers an opportunity to grow in accounting proficiency and gain hands-on experience supporting complex projects across the AEC industry.

General Duties:

  • Support preparation, distribution, and tracking of client and teaming partner invoices and billing documentation.
  • Assist in managing Accounts Receivable records, payment tracking, and follow-up communications.
  • Coordinate with Project Mangers to ensure billing accuracy and timely submission of project data.
  • Maintain organized digital records of contracts, change orders, and billing correspondence.
  • Assist with reconciling accounts, preparing journal entries, and verifying supporting documentation, including accurate receipt records. Assist with updating recurring schedules.
  • Generate financial and administrative reports for management review.
  • Collaborate with the Senior Accounting Specialist to ensure data integrity within accounting systems (i.e., time tracking software).
  • Perform routine administrative duties including filing, scanning, and data entry.
  • Support internal and external audit preparation as needed.
  • Provide general accounting and administrative assistance to the Finance team and other departments.
  • Maintain certificates of insurance and vendor W-9s.
  • Assist with contract, vendor, and client set up and maintenance.
  • Assist with travel accommodations for employees

Minimum Requirements

The Accounting Coordinator shall meet the following minimum requirements:

  • Associate's degree in Accounting, Finance, or related field (Bachelor's preferred).
  • Minimum of 2-3 years of accounting or administrative experience, preferably in an AEC (Architecture, Engineering, Construction) environment.
  • A combination of education and experience, preferred.
  • Must reside in the continental U.S.
  • Authorized to work in the U.S.
