The Opportunity

We are seeking a mission-driven
Executive Assistant
to support the
Executive Director
of a highly respected, advocacy-focused healthcare nonprofit.

This is a unique opportunity to work alongside a visionary leader in the health policy space, supporting initiatives that directly influence national healthcare decisions and improve access to care. Position Summary & Key Responsibilities

The Executive Assistant to the Executive Director provides high-level administrative, scheduling, and communication support to ensure smooth daily operations.

This role manages calendars, meetings, and correspondence, prepares materials for advocacy and policy initiatives, and maintains organized systems for the Executive Director and the broader organization. You'll be at the center of a small but high-impact nonprofit driving national healthcare change.

  1. Executive Operations Support

  2. Prepare weekly agendas, materials, and advocacy briefings

  3. Manage Zoom calls, board and member meetings, and official communications
  4. Support preparation of PowerPoint decks and pre-reads for legislative, regulatory, and member presentations
  5. Track action items, project timelines, and member engagement touchpoints
  6. Assist in maintaining presentation databases and key policy materials
  7. Maintain awareness of member relationships and organizational ecosystem

  8. Calendar & Email Management

  9. Manage multiple email accounts; draft professional correspondence

  10. Schedule meetings for the Executive Director, board, and working groups
  11. Maintain and organize contact databases and distribution lists
  12. Ensure alignment across key initiatives and meetings

  13. Travel & Event Planning

  14. Coordinate travel and logistics for the Executive Director and key events

  15. Support execution of conferences, stakeholder meetings, and internal team gatherings
  16. Maintain travel and event planning trackers

Requirements

  • Education:
    Bachelor's degree (Required)
  • Experience:
    5+ years in an executive or senior administrative role (Required)
  • Experience
    in nonprofit, healthcare, or government affairs strongly preferred
  • Technical Skills:
    Microsoft Suite, Adobe Acrobat, Zoom, Doodle, project management tools (Required); Squarespace/WordPress, CRM systems (Preferred)

Logistics & Compensation

Location:
Hybrid – Bethesda, MD (2 days/week in-person, 3 days remote)

Start Date:

Hours:
Monday–Friday, 9:00 AM–5:00 PM EST (occasional evening meetings quarterly)

Compensation:
$90,000
