Executive Assistant / Real Estate Operations Coordinator (On-Site – Stuart, FL)

We're looking for a
licensed Real Estate Professional
who thrives on structure, systems, and making things run smoothly behind the scenes.

As the
Executive Assistant
to our team leader, you'll be the operational backbone of the business — managing communications, listings, and client coordination to keep our growing South Florida real estate operation running at a championship level.

About Us

The Abbadie Group is a fast-rising real estate team based in Stuart, FL, specializing in
new construction and builder partnerships
throughout the Treasure Coast and Palm Beach County.

We're on pace to close
50 transactions in our first year
in the Treasure Coast and are scaling toward
100 units in 2026
through deep relationships with builders and developers.

Your Key Responsibilities

  • Manage and maintain the team leader's
    calendar, inbox, and priorities
    using the BBYT (Buy Back Your Time) method — handling 95% of communications on his behalf.
  • Coordinate showings
    via text and phone to ensure a seamless experience for clients and agents.
  • Upload and maintain
    MLS listings
    (Beaches, Stellar, Navica) with precision and attention to detail.
  • Support the team with
    offers, listing packages, and CRM lead management
    (Go High Level, Dotloop, etc.).
  • Maintain organization across
    Google Workspace
    and company files.
  • Occasionally run
    local errands
    or assist with marketing logistics as needed.

What We're Looking For

  • Active Florida Real Estate License (required)
  • Proficiency with:
    Google Workspace, Dotloop, MLS, CRM systems (Go High Level preferred)
  • Excellent communication and organization skills
  • A proactive, dependable team player who anticipates needs before they arise
  • Strong attention to detail and comfort working in a
    fast-paced, high-performance environment

Work Environment

  • On-site in Stuart, FL
    for the first 90 days
  • Hybrid/WFH flexibility
    available after initial training
  • Collaborative, growth-minded team with clear pathways into operations or leadership
