Position Overview: We are seeking an organized and proactive Events Assistant to join our team in New York City. The ideal candidate will assist with the planning, coordination, and execution of various events hosted by Merryround. This role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment.
Key Responsibilities:
Event Planning and Coordination:
- Assist in the planning and preparation of events, including scheduling, venue selection, and coordination with vendors.
- Prepare and maintain event documentation, such as agendas, checklists, and contact lists.
- Coordinate event logistics, including setup, decor, and audiovisual needs.
Guest and Client Services:
- Provide excellent customer service to guests and clients before, during, and after events.
- Greet attendees, handle inquiries, and address any issues or concerns that arise.
- Ensure all guests have a positive experience and that their needs are met.
Event Execution:
- Support event staff in managing the flow of activities and ensuring adherence to the event schedule.
- Assist with the setup and teardown of event spaces, including arranging furniture and equipment.
- Monitor event activities to ensure everything runs smoothly and address any disruptions as they occur.
Administrative Support:
- Assist with administrative tasks related to event planning, including maintaining records and processing invoices.
- Help with budgeting and financial tracking for events, including monitoring expenses and preparing reports.
- Collaborate with team members to ensure all aspects of event planning and execution are covered.
Operational Support:
- Manage event supplies and materials, ensuring they are organized and available when needed.
- Assist with post-event activities, including gathering feedback, preparing thank-you notes, and conducting debrief meetings.
- Ensure compliance with health and safety regulations and company policies during events.
Team Collaboration:
- Work closely with event coordinators, vendors, and other team members to support successful event outcomes.
- Participate in pre-event briefings and training sessions to stay informed about event details and company procedures.
- Contribute to a positive and collaborative work environment.
Qualifications:
- High school diploma or equivalent; additional qualifications in Event Management, Hospitality, or a related field is a plus.
- Previous experience in event planning or coordination is preferred.
- Strong organizational skills and attention to detail.
- Excellent interpersonal and communication skills.
- Ability to handle multiple tasks and work efficiently in a fast-paced environment.
- Reliable, punctual, and able to work both independently and as part of a team.
- Proficiency in basic office software and event management tools.
- Physical stamina to stand for extended periods and handle tasks such as setting up and moving equipment.
