About CorpsAfrica

CorpsAfrica was founded in 2011 by former Peace Corps Volunteer Liz Fanning with the idea of turning community development in Africa over to local changemakers. During her own service, Liz was approached by young Moroccans who wanted to be Peace Corps Volunteers so they could help people in their own country, but she had to tell them it was only for Americans.

Since launching its first program in Morocco in 2013, it has expanded to 10 countries across the continent and aims to expand to all 54 of Africa's countries in the next ten years. To date, CorpsAfrica has hosted over 1,200 Volunteers across Morocco, Senegal, Malawi, Rwanda, Ghana, Kenya, Ethiopia, Uganda, The Gambia, and South Africa. The organization will open a program in Côte d'Ivoire in 2025 and plans to open a 12th country program in 2026. Volunteers have completed over 800 community-led projects, including building wells, schools, roads, and irrigation systems; establishing literacy programs; and supporting vegetable and livestock farms.

Overview of the Position:

The Administrative & Operations Associate is a high-impact role responsible for ensuring the organizational infrastructure runs smoothly, compliantly, and efficiently. This Associate serves as a hub for all operational and administrative activity, with a primary focus on managing the physical office, digital records, and compliance processes. This position requires a proactive, highly organized individual who can independently execute complex administrative tasks, liaise with external partners, and provide essential logistical support to maximize productivity and maintain a positive office culture.

Specific Responsibilities: 

Office and Systems Infrastructure (50%)

Act as the first point of contact for all routine maintenance and service requests. Liaise with external vendors (repair, cleaning) and the building landlord to ensure timely service, minimal disruption, and effective communication of updates to staff.Reorganize, archive, and securely store all existing digital and paper files. Maintain a detailed asset register for all DC office equipment and furniture, including periodic tracking and future replacement forecasting.Manage and update the central repository (in Google Workspace) for all core organizational information (policies, vendor lists, contact directories), ensuring the system remains comprehensive and current.Oversee the organization of all common areas and manage inventory of general office supplies within established budgets. Handle all in-office logistics for new DC staff, including workstation setup and distribution of access codes.

Financial & Procurement Administration (25%)

Own the organizational expense documentation process for the DC office and operations team. Collect, categorize, and compile operational receipts and expense data for regular submission to the finance team.Execute and track all essential purchases for the organization, including office supplies, subscriptions, and minor equipment.Support the administrative lifecycle for high-value purchases by building the Request for Proposal/Quote (RFP/RFQ) documents, managing the intake of vendor responses, developing the bid analysis matrix, and drafting the vendor selection summary for staff input and management review.Track and manage all deadlines for state charitable registrations, tax filings, and tax exemption status. Maintain a secure system for storing and tracking all executed vendor contracts and proactively flag contracts due for renewal (90 days out) to allow management time for review or negotiation.

Meeting Support, Communication & Culture (20%)

Send out pre-read materials, secure the conference room/virtual platform, ensure all necessary equipment is working (e.g., video conferencing), and track action items post-meeting.Manage visitor logistics, prepare welcome materials, and coordinate catering or off-site venues.Manage and draft routine internal communications related to administrative topics (e.g., policy updates, office closures, security notices).Plan and execute office-wide events. 

Other responsibilities as assigned (5%)

Qualifications:Bachelor's degree in Development or related field, and at least three years of work experience in administrative support.Experience in International Nonprofit Organizations – Prior work with African development organizations or mission-driven NGOs, ideally in a cross-cultural or multi-country context.Exceptional written and verbal communication skills, and organizational skills, with demonstrated ability to manage concurrent multiple assignments, meet tight deadlines, and prioritize accordingly, all with exceptional attention to detail.In-depth knowledge of Google Workspace elements, including calendar management, Google sites, and Google drive.Fluency in English is required; fluency in French or any African dialect(s) is a big plus.Excellent written, oral, interpersonal, presentation, and creative problem-solving skills.A commitment to support youth leadership, participatory community development, impact evaluation, transparency, and accountabilityTrustworthiness and Confidentiality: Demonstrates the highest level of integrity and discretion in handling sensitive information, maintaining strict confidentiality, and consistently earning the trust of leadership, colleagues, and external partners.
