Job Summary

We are seeking a highly organized and detail-oriented Inventory & Recon Coordinator to manage and optimize the full reconditioning pipeline at our growing used car dealership. This role is responsible for tracking inventory from acquisition to ready-for-sale status, coordinating with recon vendors, ordering and managing parts, updating Asana and Frazer, and ensuring vehicles move quickly and efficiently through the recon process.

The ideal candidate will be tech-savvy, strong at follow-up, skilled in managing multiple tasks, and capable of supporting both the sales team and collections team by ensuring inventory accuracy, fast recon turnaround, and clean documentation. This role directly impacts turn speed, sales readiness, and overall dealership efficiency.

DUTIES (Customized to Your Dealership)

  • Manage and maintain accurate inventory and recon status using Asana, Frazer, and Google Sheets
  • Track every unit from purchase → recon → detail → photos → online listing
  • Order and track parts for vehicle repairs and BHPH customer service requests
  • Coordinate with outsourced mechanics, body shops, detailers, and transport drivers
  • Maintain a structured Vendor Communication Log to monitor job status, delays, ETAs, and completion times
  • Conduct daily recon pipeline reviews to identify bottlenecks and escalate stuck vehicles
  • Upload receipts, organize recon documentation, and maintain complete vehicle files
  • Take vehicle photos once recon is complete, upload to Frazer/Asana, and notify sales for online posting
  • Track and manage BHPH customer repair tasks, ordering parts and scheduling vendors
  • Maintain accurate added costs, recon notes, and parts records in Frazer
  • Support sales by ensuring all ready vehicles have photos, details, and accurate status updates
  • Support collections by tracking customer repair statuses and communicating job updates
  • Assist in process improvements for recon efficiency, vendor turnaround times, and internal communication
  • Prepare weekly recon and inventory status reports for dealership management

EXPERIENCE (Customized to Your Dealership)

  • Experience in automotive recon, parts management, inventory coordination, warehouse operations, or similar roles preferred
  • Strong computer skills; comfortable using Asana, Google Sheets, and Frazer (training provided)
  • Demonstrated ability to manage multiple vendors, follow up consistently, and handle time-sensitive tasks
  • Experience ordering automotive parts or coordinating repair jobs is a major plus
  • Strong organizational and documentation skills; ability to maintain clean digital records
  • Ability to prioritize tasks, manage workflow, and move vehicles through recon efficiently
  • Capable of taking vehicle photos and staging cars for listing
  • Ability to work around vehicles, move parts, and coordinate physical tasks with lot runner
  • Bilingual (English/Spanish) is highly preferred but not required
  • Automotive dealership or service department experience is helpful but not required
  • Ability to lift 25–40 lbs when receiving parts deliveries (not a warehouse role, but light lifting required)

Job Type: Full-time

Pay: $ $19.00 per hour

Expected hours: No less than 40 per week
