We are seeking a highly organized and detail-oriented HR Operations Specialist contractor to join our team. In this role, you will be responsible for managing the interview scheduling process for full-time and non-employee (contractor) positions, ensuring smooth communication between candidates, staffing agencies, hiring managers, and interview teams. Additionally, you will oversee the full-time employee and contractor onboarding and offboarding processes to ensure a seamless experience from start to finish. This candidate must be able to thrive in a fast-paced environment and possess excellent communication, record-keeping, organization, and time management skills. They will work closely with the HR team and cross-functional groups.
Responsibilities- Schedule and coordinate interviews for full-time and contractor positions across multiple teams.
- Collaborate with hiring managers, staffing agencies, and candidates to determine suitable interview times.
- Manage communication with candidates and their staffing agency regarding interview logistics and preparation.
- Ensure interview schedules are updated and aligned with team needs and candidate availability.
- Facilitate the full-time and contractor onboarding process, including the collection of necessary documentation.
- Coordinate with internal teams to ensure contractors have everything needed for their first day.
- Manage the full-time employee and contractor offboarding process at the end of their engagement.
- Communicate end dates to the contractor's employer and coordinate return of company property, access revocation, and documentation completion.
- Serve as the primary point of contact for contractors during their time with the company and interface with staffing agencies as needed.
- Provide timely updates and reports on the status of interviews, onboarding, and offboarding to hiring managers, staffing agencies, and HR.
- Track and maintain records for contractors' start/end dates and document their employment status in the internal systems.
- Continuously evaluate and improve processes related to scheduling, onboarding, and offboarding.
- Maintain and update contractor databases and other relevant systems to ensure data accuracy and efficiency.
- Maintain personnel files and conduct periodic audits throughout the year.
- Generate, create, and distribute monthly reports to stakeholders.
- Support HR team with activities throughout the year, including employee communications, engagement initiatives, and software implementations.
- 2+ years of experience in recruitment coordination, HR, or administrative support roles.
- Experience with employment law compliance related to co-employment.
- Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
- Excellent communication and interpersonal skills to interact effectively with candidates, contractors, staffing agencies, and internal teams.
- Ability to work independently, take initiative, and solve problems proactively.
- Familiarity with Workday (HRIS/ATS) and office productivity tools.
- Previous experience with contractor onboarding/offboarding processes is a plus.
This position is based in our South San Francisco headquarters, with a hybrid work model requiring onsite presence 3-4 days per week.
Job Type & LocationThis is a Contract to Hire position based out of South San Francisco, CA.
Pay and BenefitsThe pay range for this position is $ $47.00/hr.
