Job Overview

The Inventory Manager is responsible for overseeing and maintaining accurate inventory control processes for Warrior Fuel's high-volume fuel and food convenience stores. This position focuses on daily stock management, including tracking inventory levels, forecasting future needs, ordering, and receiving for all fuel, fresh food, packaged, and retail products. The Inventory Manager will manage all products from fresh food to expired goods, ensuring proper handling, rotation, and reporting while maintaining compliance and minimizing losses. This position also ensures that the sales floor and stock room remain clean, organized, and fully stocked to meet customer and operational demands. The role is essential in supporting profitability through data-driven forecasting, vendor coordination, and efficient inventory operations.

Responsibilities

Inventory Control

  • Track and maintain real-time inventory levels for all products — including fresh food, perishable items, packaged goods, and fuel — across both.
  • Monitor damaged or expired products and implement corrective procedures to minimize loss and maintain quality standards.
  • Conduct regular cycle counts and complete audits to reconcile physical counts with inventory records, investigating and resolving discrepancies promptly.
  • Manage all product lifecycles, from receiving and stocking to removal and documentation of expired or damaged items.
  • Maintain precise inventory records and ensure all system updates are accurate and timely.
  • Implement and enforce inventory procedures to minimize waste, shrinkage, and miscounts.
  • Oversee all product transfers and inter-store movement between all locations.
  • Keep the sales floor and stockroom organized, clean, and compliant with safety and food handling standards.
  • Performs other related duties as assigned to support the efficient operation of the department and organization

Vendor and Supply Management

  • Proactively order new stock to avoid shortages and ensure optimal product availability across all categories.
  • Manage product ordering, deliveries, and vendor relations for timely and accurate fulfillment.
  • Verify all shipments and invoices for accuracy, quality, and freshness.
  • Coordinate vendor returns, credits, and shortage resolutions.
  • Monitor fuel deliveries, reconcile tank readings, and ensure regulatory compliance.

Reporting, Forecasting, and Analysis

  • Analyze sales data and inventory trends to forecast future product needs and adjust orders accordingly.
  • Generate daily, weekly, and monthly reports on stock levels, variances, shrinkage, and product performance.
  • Provide management with recommendations to improve profitability, sales mix, and turnover ratios.
  • Support budgeting and financial forecasting related to inventory and purchasing.

Compliance and Safety

  • Ensure all food, fuel, and retail inventory practices comply with company, tribal, and state regulations.
  • Enforce proper product rotation (FIFO) and disposal of expired or contaminated products.
  • Maintain organized storage areas that meet health, safety, and sanitation standards.
  • Participate in internal audits and assist with compliance inspections.

Team Leadership and Coordination

  • Train, schedule, and supervise staff involved in inventory control, receiving, and auditing tasks.
  • Maintain consistent processes and reporting across both store locations.
  • Collaborate with the Accounting, HR, and Operations teams to align financial records and staffing needs.

Experience

  • Minimum of 3 years of inventory or retail management experience in a high-volume fuel, food service, or convenience store environment.
  • Experience in multi-location or tribal enterprises is highly desirable.

Knowledge & Skills:

  • Proficiency with inventory or back-office systems (e.g., PDI, C-Store Office, or comparable software).
  • Strong working knowledge of POS systems, Microsoft Office Suite (Excel, Word, Outlook), and ERP or inventory management platforms.
  • Excellent organizational and analytical skills with attention to detail and accuracy.
  • Ability to analyze sales data, forecast trends, and make data-driven decisions.
  • Effective communication and leadership skills with the ability to train and manage staff.
  • Must be able to lift up to 50 lbs and perform tasks in a fast-paced, physically active environment.
