Position Summary:

We are seeking a dynamic and detail-oriented Intake Coordinator to join our healthcare team In this vital role, you will serve as the first point of contact for Clients welcoming them and guiding them through the intake process. While managing the client intake process, this person will ensure accurate information collection and facilitate communication between clients and healthcare providers. The Intake Coordinator will be responsible for completing initial SUD assessments, treatment plans, and assigning a primary counselor. Also, the Intake Coordinator will ensure clients are attending their appropriate level of care by sending out group reminders, and monitoring group and clinician census. The Intake Coordinator will provide essential support to ensure the efficient operation of the office, handling various administrative tasks and assisting management and staff. Your energetic approach will help facilitate patient registration, verify insurance coverage, and coordinate appointments while maintaining compliance with healthcare regulations such as HIPAA. Your proactive communication and organizational skills will contribute to delivering exceptional patient service and supporting overall clinic operations. Responsibilities

  • Serve as the point of contact for internal and external communications, greeting visitors and directing inquiries appropriately.
  • Manage and distribute information among co-workers, answer phones, and perform general office tasks.
  • Schedule initial appointments & group assignments for primary counselors when a new client completes the assessment.
  • Review pre-screens to approve/deny client admissions.
  • Screen and review PSA with Business Development Director.
  • Schedule a new admission to meet with LSW for MH diagnosis, if needed.
  • Coordinate patient intake assessments by collecting paperwork, collateral information and communicating with patients and their families.
  • Work with the clinical team to ensure groups are filled.
  • Contact clients to confirm treatment attendance.
  • Manage and maintain patient records and ensure confidentiality and accuracy of patient information.
  • Collaborate with the clinical team to ensure smooth patient flow and effective communication between the front desk and clinical staff.
  • Send out daily text or call reminders to clients about group attendance.
  • Excellent computer skills, including proficiency in Microsoft Office, 10-key typing, and familiarity with multi-line phone systems.
  • Prior clinic or medical office experience, including front desk, medical receptionist, or administrative support roles.
  • Knowledge of HIPAA regulations and experience handling confidential patient information with discretion.
  • Bilingual abilities are highly desirable to serve diverse patient populations effectively.
  • Strong organizational skills with attention to detail, accuracy, and efficiency in documentation review and office management tasks.
  • Exceptional customer service and communication skills, with professional phone etiquette.
  • Ability to work in a fast-paced environment, multitask effectively, and demonstrate a positive, energetic attitude.

Job Type: Full-time

Pay: $50, $55,000.00 per year
