Basic Functions: Provides administrative and operational support to the Dean and faculty members in the Faculty. The activities are varied and highly visible requiring a comprehensive, thorough understanding of the priorities and responsibilities of the Dean and

faculty. Takes minutes during administrative committee meeting and other meetings as

requested by the Dean. Prepares and edits correspondence, reports and presentations. Plans and organizes Faculty meetings events and coordinates all associated logistical aspects.

Duties Performed:

  • Assists the Executive Assistant to the Dean in carrying out various secretarial and clerical duties in the Dean's Office, includes answering telephone calls, typing and printing, maintaining the Dean
  • and Associate Deans schedules and appointments dispatching and distributing outgoing and incoming mail.
  • Collects information needed by the Dean's Office for Conferences, meetings and projects.
  • Prepares a variety of correspondence, reports, memoranda, special projects, technical papers, committee minutes, letters, forms and related materials for various academic activities as requested to be presented to the Dean for approval.
  • Maintains and updates Dean's Office brochures, newsletter and bulletin board. Coordinates for printing materials and reports.
  • Maintains an updated automated filing system and accurate Dean's Office records and archives.
  • Handles and processes orders for purchase of supplies and equipment for the Dean's Office. Uses i-procurement system for placing on-line orders as requested.
  • Acts as a substitute to the administrative officers and/or Executive Assistants of MSFEA departments during their leaves and vacations to ensure the normal on-going operations of the administrative units.
  • Coordinates / manages official travel arrangements and reservations for the Dean and other members of the Dean team on Faculty
  • related trips.
  • Plans and organizes Faculty events/meetings/gatherings and coordinates all associated logistical aspects.
  • Coordinates and facilitates the onboarding process for new faculty.
  • Performs other related duties as requested.

Work Contacts:

Regular contacts with Dean, Associate Deans, Managers and work associates. Frequent contacts with faculty members, students, visitors and various offices of the University such as Office of Development and Communications Office for coordination purposes.

Independence of Operation:

Reports to the Executive Assistant to the Dean and to the Dean.

Works according to established procedures and specialized administrative standards.

Supervisory Responsibility:

None.

Physical Effort:

Minimal.

Minimum Requirements:

  • Bachelor's Degree in any discipline or an equivalent combination of education and experience.
  • 3-5 years of related work experience, preferably in an academic environment.
  • Demonstrated experience in handling matters of a confidential and sensitive nature.
  • Fluent English and Arabic.
  • Strong computer skills with an excellent knowledge of MS Word, Excel, Email and the Internet, faculty and student information system.
  • Familiarity with Banner and I-Procurement is a plus.
