The Department of Financial Protection and Innovation (DFPI) provides protection to consumers and services to businesses engaged in financial transactions. The Department regulates a variety of financial services, products and professionals. The Department oversees the operations of state licensed financial institutions, including banks, credit unions, money transmitters, issuers of payment instruments and travelers checks, and premium finance companies.

Additionally, the Department licenses and regulates a variety of financial businesses, including securities brokers and dealers, investment advisers, deferred deposit (commonly known as payday loans) and certain fiduciaries and lenders. The Department of Financial Protection and Innovation (DFPI) is seeking to hire one student assistant to perform meaningful tasks valuable to the department and provide administrative support within the Consumer Services Office (CSO). The position will provide a learning opportunity for the student to gain knowledge about the policies and procedures related to the business, call center operations, office operations, and the consumer complaint process.

Employment

This is a part-time, temporary, non-benefited, student position. Employment in all positions with University Enterprises, Inc. is dependent upon the mutual consent of University Enterprises, Inc. and the employee. This means that either University Enterprises, Inc. or the employee can, at any time, terminate the employment relationship at will, with or without cause.

Depending on the type of position you are applying for, a pre-employment background check consisting of one or more of the following may be conducted: employment history, professional references, criminal check: educational verification (degree, license, or official transcript) or DMV clearance. Applicants will be required to pass required pre-employment checks to the satisfaction of University Enterprises, Inc. (UEI) and the hiring Agency or Department.

UEI does not allow students to hold more than one UEI Job at a time, or work in more than one account per pay period. UEI employees who are considering leaving their current UEI Student assistant position for a different UEI student assistant position should inform their supervisor in writing and provide at least a week's notice.

UEI is not a multi-state employer. UEI only employs candidates who live and work in the state of California. If selected for the position you must reside in California and all work must be performed in the state of California throughout the course of employment.

Prerequisites

Must be a college student attending classes during the regular term (Fall, Spring and Winter, if applicable), at one of the accredited colleges or universities on our affiliation list.

Students must be enrolled in at least: six-semester units or nine quarter units for undergraduate students; four-semester units or six quarter units for graduate students.

Work Schedule

F lexible workdays and work hours, Monday – Friday, between 8 AM – 5 PM. The final work schedule will be determined by the supervisor.

Additional Work Schedule

Student Assistant and Graduate Assistant employees generally work up to 24 hours per workweek (Sunday – Saturday) during the academic year and up to 40 hours per workweek during breaks; (winter, spring, and summer).

Compensation

$18.27 to $24.62 per hour.

Minimum Qualifications

  • Familiar with general office procedures and processes, exceptional customer service skills in a professional office setting.
  • Familiar with Microsoft Office 365, Word, Excel, Outlook, and Adobe Software.
  • Have good attendance, be punctual and professional.
  • Able to work both independently and in team situation.
  • Ability to maintain accurate records, pay strict attention to detail, and communicate effectively with the public as well as with all levels of staff and management.
    Be reliable and have good verbal and written communication skills.

Preferred Qualifications

  • Previous
    experience in an office or customer
    service position.
  • Bilingual/Spanish speaking preferred but not

Duties and Responsibilities

  • Receive and scan incoming mail and distribute as necessary.
  • Scan complaints and responses into the system of records as required by the department ensuring that proper format is followed, and that forms are free of typographical errors.
  • Mail out printed complaint forms and responses generated from on-site staff.
  • Respond to email inquiries received by the Consumer Services Office related to specifics regarding the complaint process, agency jurisdiction, complaint statuses, and obtaining or renewing DFPI licenses.
  • Assist with providing telephone coverage for a toll-free telephone number used by consumers and licensees seeking information related to the business.
  • Assisting professional staff - performing various administrative tasks as needed to support daily operations for office staff.
  • Assist with performance of user acceptance testing upon completion of department-wide projects related to a new complaint portal, new phone system, new forward-facing website, and new internal SharePoint website.
  • Generate and export reports related to complaint and phone data from our system of records and automatic call distribution (ACD) phone system respectively.
  • Generate write-ups for articles distributed within the department that describe recent highlights related to the Consumer Services Office.
  • Help manage the Consumer Services Office section of the new DFPI SharePoint site slated to be launched this year.
  • Schedule and attend Consumer Services Office scheduled team meetings and take down meeting notes accordingly.
  • Create and/or update new and historical agency contact sheets ensuring our information is current and relevant.
  • Purge/clean up legacy files and folders as instructed by supervisor.
    Assist with referring complaints received by the department that fall outside of DFPI jurisdiction.

Physical Requirements

Sit for extended periods; frequently stand and walk; manual dexterity and hand-eye coordination; corrected hearing and vision to normal range; verbal communication; use of office equipment including computer workstations, telephones, calculators, copiers, printers, and scanners with or without reasonable accommodation.
