SUMMARY:
This position is responsible for performing administrative duties of a complex/confidential nature for the Chief Financial Officer, including schedule/meeting coordination, composing and typing up correspondence, maintaining confidential documents, screening phone calls/visitors, and other duties as necessary.
JOB DUTIES AND ESSENTIAL FUNCTIONS:
- Performs complete administrative, secretarial functions for the top executive.
- Interprets and adapts guidelines, practices, and policies.
- Assist in coordinating the CFO's daily priorities, appointments, calendar, tasks, meetings, deadlines, etc.
- Daily review, coordination, and anticipation of CFO's needs, calendar, and tasks as well as confirm, coordinate and organize corporate meetings.
- Screen incoming visitors, phone calls, communication and direct to COO for relevance, prioritization and importance.
- Screen CFO's mail from outside and within organization. Assist with completing deadlines, creating documents, assignments, gathering reports, information and initiating communication on behalf of CFO.
- Handles highly confidential matters. Working with top-level executives in work situations.
- Exercises discretion concerning schedule changes, changing priorities and meeting interruptions.
- Telephone relief for others in the area as necessary.
- Perform other duties as assigned.
WORKING CONDITIONS:
- Air-conditioned office environment
PHYSICAL DEMANDS:
- Sit for extended periods of time
- Walk, stand, bend, squat, twist, and reach
- Extended keyboarding
MINIMUM REQUIREMENTS:
- High School diploma, GED, or equivalent
- 3-5 years of being an Executive or Corporate Assistant.
- Excellent verbal and written communications skills
- Customer Service Skills
- Proficiency in Microsoft Office Applications including Excel, PowerPoint, and Word
- Must be Professional, Customer Focused, and Organized
PREFERRED REQUIREMENTS:
- Associate degree
