Job Summary

We are seeking a dynamic and detail-oriented Intake Specialist to join our healthcare team. In this vital role, you will serve as the first point of contact for patients and providers, ensuring smooth and efficient intake processes. Your energetic approach will help facilitate accurate data collection, insurance verification, and appointment scheduling, all while maintaining the highest standards of patient service and confidentiality. The ideal candidate will possess strong medical administrative skills, proficiency with electronic health record (EHR) systems, and excellent communication abilities to support a seamless patient experience from initial contact through documentation review.

Duties

  • Greet patients and visitors warmly, providing exceptional customer service at the front desk or via multi-line phone systems
  • Collect and verify patient information using EMR (Electronic Medical Records) systems such as Epic, Meditech, Athenahealth, eClinicalWorks, or Dentrix
  • Conduct insurance verification and eligibility checks for Medicare, Medicaid, private insurance plans, including detailed review of coverage details and benefits
  • Assist with appointment scheduling using medical office management software, ensuring proper care plans are coordinated efficiently
  • Review medical documentation for accuracy and completeness, including CPT coding, ICD-9/10 coding, and medical terminology to ensure compliance with HIPAA regulations
  • Support medical billing processes by accurately entering data into billing systems and following up on outstanding claims
  • Maintain organized medical records and files in accordance with health information management standards
  • Facilitate communication between patients, providers, and insurance companies to resolve discrepancies or issues promptly
  • Assist with office management tasks such as filing, data entry (including 10 key typing), and managing multi-line phone systems with professional phone etiquette
  • Support clinical staff by providing administrative support related to intake forms, care plans, and documentation review

Qualifications

  • Proven experience in a medical office environment or healthcare setting with clinic or dental clinic experience preferred
  • Strong knowledge of EMR/EHR systems such as Epic, Meditech, Athenahealth, eClinicalWorks, Dentrix or Eaglesoft
  • Familiarity with medical coding including CPT codes and ICD-10/ICD-9 coding standards
  • Excellent understanding of HIPAA regulations related to health information privacy and security
  • Ability to verify insurance coverage accurately for Medicare, Medicaid, private insurers; experience with insurance verification processes is highly desirable
  • Bilingual skills are a plus to effectively serve diverse patient populations
  • Exceptional organizational skills with attention to detail in documentation review and data entry
  • Proficiency in Microsoft Office Suite (Word, Excel) and basic computer skills for office management tasks
  • Strong customer service orientation combined with professional phone etiquette and clerical experience in front desk or office management roles
  • Ability to handle sensitive information discreetly while maintaining efficiency in a fast-paced environment
