THIS POSITION REQUIRES FULL-TIME, ON-SITE PRESENCE IN SANTA FE.

The Department of Finance and Administration (DFA) serves as a cornerstone of New Mexico's state government, overseeing critical financial budgetary, and operational functions that ensure the responsible stewardship of public funds. Within DFA, the Administrative Services Division (ASD) provides essential support to all DFA divisions by managing procurement, accounts payable, human resources, budgeting and IT services. ASD plays a vital role in keeping the agency running efficiently and compliantly, while fostering a culture of services, accountability and continuous improvement. As a Budget and Accounting Support Specialist, you¿ll play a vital role in shaping the State¿s financial future, ensuring budgets are balanced, funds are used responsibly, and financial data drives smart decision-making. In this hands-on role, you¿ll work side by side with the Budget Manager and General Ledger Accountant to support all aspects of fiscal management, from building and tracking budgets to reconciling accounts and preparing reports that keep leadership informed and compliant with state and federal regulations.

How does it get done?

Help develop, monitor, and reconcile operating, capital outlay, and special appropriation budgets.

Prepare financial projections and reports that guide executive decisions.

Track legislative actions and budget adjustments to flag potential risks.

Assist in preparing the annual budget request and HR Action Request (HAR) projections.

Support monthly general ledger reconciliations, cash flow analysis, and journal entry processing.

Reconcile payroll transactions between financial and HR systems.

Assist with federal grant reporting, cost collection, and draw requests (e.g., CDBG and other funds).Maintain tracking spreadsheets and assist with audit preparation and documentation.

Organize fiscal files and maintain financial data integrity.

Provide quality control for transactions and data entry.

Respond to inquiries from internal and external partners regarding budget or accounting activities.

Minimum Qualification

Associate Degree in Accounting, Finance, Business Administration, or related field and two (2) years of experience performing budget preparation, financial document preparation and management, policy/program analysis, budget monitoring, governmental accounting, and/or federal grant reporting. Any combination of education from an accredited college or university in a related field and/or direct experience in this occupation totaling four (4) years may substitute for the required education and experience.

Employment Requirements

State issued ID or Driver's License.

Pre-employment criminal background check is required, and employment is conditional pending results.

Working Conditions

Work is performed in an office setting with long periods of sitting and extensive computer usage. Occasional overtime and limited travel. Ability to complete assignments with a high level of accuracy and within strict time constraints and an ability to handle multiple tasks and requests from several people at once.
