Job Overview

We are seeking a dedicated and professional Dental Front Desk Coordinator to serve as the first point of contact for our dental practice. The ideal candidate will possess excellent communication skills, a strong background in medical and dental administrative support, and a passion for delivering outstanding patient service. This role involves managing patient interactions, scheduling appointments, verifying insurance, and maintaining accurate dental records. The Dental Front Desk Coordinator plays a vital role in ensuring smooth office operations, fostering a welcoming environment, and supporting the clinical team with administrative tasks. All positions are paid, including internships, emphasizing the importance of professionalism and commitment to quality care.

Responsibilities

  • Greet patients warmly and professionally upon arrival, ensuring a positive first impression.
  • Manage patient check-in and check-out processes efficiently using EMR (Electronic Medical Records) systems such as Dentrix or Eaglesoft.
  • Schedule appointments accurately while coordinating with clinical staff to optimize daily workflow.
  • Verify insurance coverage and benefits using systems like Epic, Meditech, Athenahealth, or Medisoft to ensure proper billing and authorization procedures.
  • Collect payments, process co-pays, and handle billing inquiries with attention to detail and accuracy.
  • Maintain comprehensive and organized patient records in compliance with HIPAA regulations to safeguard patient confidentiality.
  • Review documentation for completeness and accuracy, including medical history forms, treatment plans, and insurance information.
  • Assist patients with intake procedures, including updating personal information and explaining office policies.
  • Perform clerical duties such as filing, faxing, data entry (including 10 key typing), and managing multi-line phone systems with professionalism and courtesy.
  • Support medical coding activities by understanding CPT codes, ICD-10/ICD-9 coding standards, and dental terminology to facilitate accurate billing processes.
  • Collaborate with the clinical team on care plans and follow-up appointments to ensure seamless patient care delivery.
  • Utilize computer skills across various platforms such as Microsoft Office Suite to prepare reports, correspondence, and appointment reminders.
  • Ensure compliance with all health information management protocols related to HIPAA and other regulatory standards.
  • Provide exceptional customer service by addressing patient inquiries promptly via phone or in person while maintaining excellent phone etiquette.
  • Assist in office management tasks related to insurance verification, filing systems (both electronic and paper), and maintaining a clean work environment conducive to productivity.

Qualifications

  • Prior experience working in a dental or medical office environment is highly preferred; clinic experience is advantageous.
  • Strong knowledge of EMR systems such as Dentrix, Eaglesoft, or similar platforms; familiarity with Epic, Meditech, or Athenahealth is beneficial.
  • Proficiency in medical billing including medical coding (CPT, ICD-10/ICD-9), insurance verification processes, and Medicare guidelines.
  • Knowledge of HIPAA regulations and health information management practices to ensure confidentiality and compliance.
  • Excellent organizational skills with the ability to multitask effectively in a fast-paced setting.
  • Exceptional communication skills—both verbal and written—with an emphasis on professional phone etiquette.
  • Bilingual abilities are highly valued to serve diverse patient populations effectively.
  • Strong clerical skills including filing, data entry (10 key typing), document review, and office management tasks.
  • Computer literacy across Microsoft Office programs (Word, Excel) along with familiarity with dental practice management software such as Dentrix or Eaglesoft.
  • Demonstrated ability to provide outstanding patient service while maintaining attention to detail in administrative functions.
