Position Overview: 

The Senior Executive Assistant/Events Coordinator's primary responsibilities will be to provide full administrative support to the Impact Investment Services (IIS) team and separately support the Brand Strategy team with responsibilities for planning, executing, promoting, and evaluating all Locus-hosted events. The Senior Executive Assistant/Events Coordinator reports directly to the Corporate Governance Administrator. This full-time position will require occasional travel (as needed up to 25%).

Essential Duties & Responsibilities

IIS Administrative Support:

  • Provide administrative support for the IIS team, including but not limited to calendaring and managing logistics for online and in-person team meetings, minute-taking, responding to inquiries, scheduling, managing correspondence and meeting communications, and event planning as needed.
  • Schedule, organize and collect & publish meeting documents for internal and external meetings, including agendas, pre-reading materials, and subject matter materials, as necessary. 
  • IIS calendar management including screening, prioritizing, and scheduling meetings with internal staff, vendors, and key external relationships.
  • Create cross-IIS project plans using MS Projects and update/maintain as needed including creating new tasks.
  • Creating/editing presentation materials using PowerPoint, Word documents and general correspondence.
  • Update and maintain contact/distribution information for key IIS stakeholders and clients.
  • Maintain a logical, digital file structure for IIS documents and support team members in locating and saving documents.
  • Assist in collecting documentation associated with prospects and new clients and transactions to include transaction closings and client onboarding requirements such as Know Your Customer adoptions.
  • Enter and update client, prospect and opportunity data in Salesforce – ensuring records are accurate and organized. Assist in implementing Salesforce-related IIS data management and reporting processes as needed.
  • Send out notices, reminders, reports and other communications to clients and other stakeholders in support of investor relations, asset management, servicing, and other activities.
  • Respond to general Locus inquiries and direct requests to the appropriate individual within Locus.
  • Provide a high level of service to internal and external customers.
  • Manage tasks autonomously to ensure timely completion.
  • Conduct other activities as mutually agreed to by this individual and their manager.

Events Coordination:

  • Plan and execute internal and external Locus-hosted events, including quarterly and/or annual thought leadership events, key partner convenings or meetings, webinars, and all-staff meetings and retreats.
  • Manage logistics for Locus staff retreats, including site visits, lodging, food/beverage, and assorted vendor arrangements (e.g., A/V, photo/video shoots).
  • Manage sponsorship coordination of Locus-hosted events, including correspondence, materials creation, and administration.
  • Coordinate logistics for Locus sponsored external conferences and events including attendance, sponsorships and materials, event registrations, list management, invoice processing, vendor coordination and communication, and stakeholder engagement. 
  • Establish and maintain relationships with event vendors and venues.
  • Develop and produce supporting event materials (e.g., invitations, information packets, promotional items).
  • Collaborate with Director of Brand Strategy to adhere to budget and responsibly manage costs.
  • Ensure relevant event information (contacts, follow-up activities, etc.) is entered in Salesforce in a timely manner.
  • Reports to other business lines for the execution of all corporate events.

Requirements

Education, Experience, Certifications:

  • A minimum 5-years of proven experience in an executive administrative position and 3+ years of event planning are required.  
  • Marketing and/or communications experience preferred but not required. 
  • Preferred experience in community development, finance, impact investing, philanthropy, and/or mission-driven organizations.
  • Experience, knowledge of, or interest in working with place-focused philanthropic institutions and impact investing funds, preferred.
  • Bachelor's degree from 4-year college or university including business courses preferred but not required for candidates with significant prior experience in similar roles.

  • Exceptional organizational, decision-making, and record-keeping skills. 
  • Ability to self-start and meet deadlines with limited supervision and adapt to changing priorities.
  • Effectively use logic and reasoning to identify strengths and weaknesses of alternative solutions, conclusions, and approaches to problems; translate high-level guidance into a goal-oriented action plan.
  • Able to establish own schedule and execute according to a plan with a focus on results and effectiveness.
  • Ability to manage concurrent events and projects of different sizes and types and handle multiple responsibilities simultaneously.
  • Ability to process high volumes of work with minimal or no errors.

Communication:

  • Verbal: Ability to communicate in a clear, comfortable and confident manner with diverse internal and external stakeholders across multiple disciplines, communicates effectively in a way that supports teamwork – conveys insights to peers and managers in a concise manner and proactively communicate with their manager about workload and priorities.
  • Written: Demonstrated ability to write clear, organized and accurate emails, letters and memos, which incorporate a range of information and analysis. Ability to document procedures.
  • Active Listening: Give full attention to what others are saying and takes time to understand the points being made, ability to receive coaching and feedback and adjust performance accordingly.
  • Exceptional customer service skills required.

Computer/Technology:

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Adobe Acrobat, and Teams is mandatory. Experience working within a board portal is preferred.
  • Prior experience with Salesforce is strongly desired.
  • Familiarity with Outlook or similar network-based email and calendar software.
  • Ability and willingness to learn new software applications and technologies is required.
  • Demonstrated web research skills.
  • Access to high-speed internet bandwidth and reasonable proximity to a Locus office or a major metropolitan airport.

Compensation and Benefits:

  • $57,000-$67,000 annual salary, depending on skills and experience
