Catering Sales Coordinator – Make an Impact in Events

West Hills Country Club is a full-service country club in the Hudson Valley, known for hosting private and corporate events. We are seeking a Catering Sales Coordinator to manage event bookings, support clients, and assist with event execution.
Job Overview:
The Catering Sales Coordinator is responsible for coordinating and securing catering and special events. This includes meeting with prospective clients, conducting facility tours, presenting event packages, following up on inquiries, and completing contracts. The role also supports operational needs and administrative duties.
Key Responsibilities:
- Conduct private and group tours, both in-person and virtual.
- Prepare agreements, process deposits, and manage event bookings.
- Track leads via phone, email, and referrals, following lead management procedures.
- Conduct menu visits and provide final event arrangements to operations, kitchen, and management teams.
- Maintain accurate event documentation, including final counts and Banquet Event Orders (BEOs).
- Assist with seasonal and holiday events (e.g., Mother's Day, New Year's Eve, Easter).
- Demonstrate knowledge of all event packages, room setups, and venue rules.
- Support cross-selling opportunities across Bonura Hospitality locations.
- Participate in marketing initiatives, including social media content.
- Address client questions or concerns promptly and professionally.
- Manage scheduling, communications, payments, and invoicing.
- Assist team members and attend regular sales meetings.
Required Qualifications:
- 2+ years of experience in hospitality or customer-facing roles (restaurants, clubs, hotels, etc.).
- Positive, proactive mindset and professional communication skills.
- Availability to work evenings, weekends, and holidays as needed.
Preferred Qualifications:
- Experience in catering sales or event coordination.
- Administrative experience with CRM, scheduling, and document preparation.
- Familiarity with creating BEOs.
- Prior experience in country clubs, private clubs, or banquet facilities.
- Bachelor's degree in hospitality, business, or related field.
Physical Requirements:
- Ability to work in temperatures from 0°F to 100°F.
- Ability to move quickly in a busy venue for up to 12 hours per day.
- Ability to lift up to 50 lbs. over 100 ft.
Education Requirements:
- High school diploma required; bachelor's degree preferred. Relevant experience may substitute.
