Front Desk Coordinator

Position Summary:
The Front Desk Coordinator is responsible for the reception area of the Club, and will serve as the first impression to members, parents and visitors – with the highest priority on Club safety and security. This includes the greeting of all guests, answering phone calls, and assisting with any questions regarding the Club and Club programming. This position is also responsible for collecting payments, enforcing payment policies, and tracking attendance and other grant related information. Other duties, including but not limited to filing, driving vans, and/or assisting with special events, may be required. Must be cooperative, friendly and create a safe environment; as well as abide by and support the Club mission, to enable all young people to reach their full potential as caring, productive and responsible citizens.
PLEASE NOTE: This is a part-time position. (25 to 30 hours per week) Applicants must be available from 1:30 to 6:30 p.m. Monday through Friday. Preference will be given to those applicants who have flexibility in their schedule, and are able to work additional hours as needed (for example during Spring Break and Summer days).

QUALIFICATIONS
Knowledge:
- Demonstrated knowledge of customer service, working with children, and office management
- Ability to organize, accomplish tasks efficiently and timely, and to take the initiative to perform other tasks as needed in a fast-paced environment
- Ability to pay high attention to detail and vigilance to any safety concerns
- Knowledge of basic office equipment (computers, copy machines, etc.) required
- Knowledge of QuickBooks preferred
- Bilingual highly preferred
Education:
High school diploma or higher
Experience:
- Experience in a Boys & Girls Club (or high traffic, fast paced environment) preferred.
- Demonstrated ability to create a positive environment for all youth is required
- Must have demonstrated experience in an office setting and/or customer service
Physical Requirements:
- Ability to sit for long periods of time
- Ability to work in a fast pace environment
- Ability to handle a variety of repetitive tasks, with multiple interruptions
KEY ROLES (ESSENTIAL JOB RESPONSIBILITIES)
Operate & Manage the Front Desk
- Maintain the up keep, safety, security and appearance of the front desk
- Track daily membership, program attendance and all other grant support data
- Monitor and track all visitors, volunteers and any other guests who enter the building
- Maintain an organized filing system at the front desk
- Maintain organization of Club membership cards
- Entry of membership information into KidTrax Data System
- May be required to create monthly calendars, flyers for Club announcements and other documents as needed
- Answer all phone calls and transfer or take messages for appropriate personnel
- Disperse and communicate necessary information to members, families, and the public about upcoming events, field trips and activities
- Maintain front desk area daily and report supplies needed to supervisor
- Must provide quality customer service, provide guided tours, and answer questions regarding Club programs, fees, policies, etc.
Payment Collection & Policy Enforcement
- Accept weekly payments from parents and issue receipts
- Maintain accurate and up-to-date information regarding member accounts
- Enforce payment policies and make collection calls on unpaid accounts
Partnership Development
- Attend all Youth Development Staff meetings
- Participate in professional information and development sessions as required by Club Management
Safety and Security
- Ensure program areas are safe and that the Club equipment is maintained in good working condition
- Control main entry to the Club, and ensure all Club members, visitors and volunteers are properly signed in and out daily
ADDITIONAL RESPONSIBILITIES
Supervision:
- Assist in the supervision of members in the Club and in vans needed
Relationships:
- Maintain daily contact with program and administration staff
- Maintain contact with members and parents as needed to advise and/or discipline
Other:
- May be required to drive Club vans occasionally
- Assistance with some special events in relation to planning, prepping and attending may be required
- Assistance with other office duties as assigned by the Chief Executive Officer or Office Manager
- May be required to assist with kitchen duties such as the meal program
- Other duties as required
Environmental and Working conditions
- All work is conducted in a Club setting, indoor and outside. Limited travel is required
